Oversees all Institute events, issuing invitations to event speakers/panelists on behalf of the Institute.
Manages preparation and communication with all event participants.
Responsible for all event logistics including event spaces, event food/catering, and all audio/visual needs.
Administers event promotion and communications, and rsvp management as needed.
Ensures that events offer online/remote as well as in person participation, when appropriate.
Conducts post-event production, including packaging and dissemination of relevant recordings, notes, thank you messages or other follow ups.
Tracks event success metrics and reporting to the Executive Director, such as RSVP and attendance rates, new audiences reached, and earned media.
Documents event themes and topics, ensuring that Instituteâ™s events portfolio is reflective of its role as a hub for urban science, training the next generation of urban scholars.
Ensures timely deployment of event-related communications, in partnership with Content Specialist, including event promotion via email, social media, and website calendar and relevant on-campus listservs
Develops and executes day-to-day event logistics, and other complex assignments with minimal guidance from others.
Guides research, including vendor selection and contract negotiation. Keeps track of all expenses, prepares reports on costs, solves complex problems as they arise.
Implements ideas for improvement as they are identified in addition to providing post-event feedback on turnout and vendor performance.
Performs other related work as needed.
A minimum of 5Â years of professional experience in relevant events, communication, higher education, or related roles.
Background working with senior leaders or executives in a complex environment.
Skillful collaborating on communications and marketing materials.
Exceptional time and project management and organizational skills including the ability to meet external and internal deadlines.
Demonstrates the skill and willingness to take initiative and to proactively anticipate organizational needs.
Work on multiple projects simultaneously, set priorities, and manage resources accordingly.
Proficient working knowledge of Microsoft Word, Excel, and PowerPoint as well as social media and web tools.
Demonstrated ability to influence people to meet goals and deadlines, work collaboratively with senior leadership, scholars, vendors, student workers, and other constituents.
Sense of humor, and some experience in the nonprofit or higher education space.
