UW Advancement has an outstanding opportunity for an Advancement Services Officer.
POSITION PURPOSE: The Advancement Services Officer (ASO) provides direct administrative and project management support. This position supports the Assistant Vice President for Development Services in all aspects of the team’s efforts as well as independently manage projects, budgets, and activities related to Development Services. The ASO will interface with University Advancement leadership; Advancement units, including advancement staff in schools, colleges and campuses; and other campus offices.
DUTIES AND RESPONSIBILITIES:
Project Organization and Management: Lead and move projects forward effectively, even in situations where s/he has little or no direct control of or influence over project partners; Provide project management for various Development Services initiatives. Examples include, but are not limited to: •Development Onboarding (partnering to develop curriculum, operationalizing efforts (including helping with our training vendor, Plus Delta), tracking and reporting on progress, possibly using an Learning Management System or internal tracking system. •Organizing the work of the Gift Acceptance Committee, including maintenance and publication of the records with this work; partner with the Director of Endowments and Donor Services to ensure the Committee is staffed appropriately. Provide support with the UW Foundation Board Recognition Committee in partnership with the Director of Philanthropic Recognition Programs. •Continual maintenance and updating of Development policies and procedures; continually providing education on these. •Monitoring VIPs and their email status. •Creating and maintaining communication strategies including internal to Development Services and DS to all Development, and partnership with the Associate VP Development Programs and the Vice President of Development to provide timely and useful information across Development of Development Services issues or others as defined by the AVP, DP and the VP, Development. Create coordination on communication with other parts of Advancement. This would include development and maintenance of all information about Development Services on the UW Intranet site (WordPress). •Project management or significant work on some large external communications such as the Consolidated Endowment Fund report, Report to Contributors, Philanthropic Recognition Programs fulfillment, acknowledgement and solicitations. •Providing team onboarding and development strategies and assisting in ensuring team members grow in potential.
Provide Administration for all Development Services, especially Assistant Vice President, Philanthropic Recognition Programs, Endowments and Donor Services •Assistant Vice President calendar management •Complex scheduling for teams/groups/other •Providing support to maintain the office: ordering supplies, arranging cleaning, etc. •Represent Development Services in admin items for Learning Management Systems building and all University Advancement (not precluding others) •Organizing the safety point person in Development Services — either taking this on themselves or recruiting •Organizing and running staff meetings, organize meetings for the Assistant Vice President — including meeting prep materials; Coordinate logistics for training seminars, special events, and meetings as requested. •Act as information hub to answer questions from across Advancement and the public, including answering donor calls and emails. •Understand various Development tools and products to help ensure high quality and technical support: MY UW Giving, Online Giving, Together Crowdfunding. Partner with Information Management when needed to ensure quality. •Work with Advancement Human Resources, Finance and Administration and Advancement Operations staff to coordinate the hiring process for key staff as needed.
Leadership and DEI •Provide extreme confidentiality in sensitive personnel and donor activities •Practice continual growth in the profession of fundraising and the processes behind it. •Ensure an equity lens is applied to all discussions about issues in Development Services and University Advancement; continually promote opportunities to re-examine existing or new practices with an equity lens •Participate in Development Services Leadership group •Continually monitor the health of the team, bring issues to the attention of the Development Services Leadership team •Manage multiple complex projects simultaneously •Exercise sound judgment at all times; balance the needs of the university, the unit, and the University Advancement Development Services program against university policy, federal, state and local laws and codes and Advancement’s policies and procedures •Effectively manage with strategic issues as well as tactical, operational details •Effectively manage high level university leadership, faculty, staff and community leaders and volunteers to the university •Build and maintain trusted relationships with internal partners (central partners and unit partners) and external partners (donors, alumni, vendors and suppliers)
Budget/Resource Management: Handle financials for all Development Services, especially Assistant Vice President, Philanthropic Recognition Programs, Endowments and Donor Services •Manage the budget for Development Services in partnership with the unit directors •Work with finance team on vendor contracts, payments •Travel and Credit card paperwork •Responsible for the acquisition and deployment of Development Services program resources in addition to various meetings and facilities coordination

REQUIREMENTS: •Bachelor's degree and two years of progressively responsible experience in office or general administrative work or related field. Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for degree and/or experience. •Ability and desire to master new technology. •Demonstrated strong computer skills, including proficiency with the MS Office suite. •Extraordinary communication skills.
