Position Function:
Responsible for the maintaining of accurate matching gift records in Banner and Double the Donation database; including updating data, reporting, reminding and approving matching gift requests made to the MSU Foundation. Ensuring best measures are in place to receive matching gift funds. This position will also work closely with the Bulldog Club staff to evaluate athletic donations to accurately reflect giving details. Review and evaluate duplicate donor records and move giving history accordingly to the correct ID and maintain all digital imaging records for Gift Administration.

Essential Duties and Responsibilities:

1. Assist with the day-to-day activities related to the MSU Foundation's matching gift program by ensuring all matching gifts are verified, reviewed and processed in a timely manner.
2. Maintain and update matching gift information in Banner and within the matching gift program (Double the Donation).
3. Generate reports from Banner and the matching gift program to review matching gift requests and remind donors of matching gift opportunities by sending weekly reminders to donors for potential matching gifts.
4. Send timely acknowledgements to individuals and matching gift companies pertaining to matching gift needs.
5. Review and maintain updated matching gift information on MSU Foundation website.
6. Carry out b-monthly reviews of the Bulldog Club reports and determine gift discrepancies by conducting comparisons and making necessary entries and adjustments to donor records.
7. Work independently with Data Services as needed to update donor contact information and employment data.
8. This job requires the strictest confidentiality in handling contribution information about donors, alumni, students and constituents.
9. Manage the day-to-day activities related to scanning and ingesting digital records into the digital document management system (AppXtender) for donor records.
10. Manage all aspects of each digitization project for Gift Administration including developing the workflow of each project and ensuring all goals/objectives and project timelines are met.
11. Assists during the MSU Foundation audit to ensure auditors are provided with necessary requested digital donor records.
12. Assists in resolving any discrepancies within digital donor files in B-A-MSU-DONOR and B-A-MSU-FUND.
13. Communicate as needed with departments and donors regarding their contributions.
14. Establish procedures and workflows related to matching gifts, Bulldog Club reviews and digital imaging. (to job functions)
15. Serve as backup to other Gift Administration staff as needed.
16. Hires, trains and supervises a student assistant.
17. Performs miscellaneous job-related duties as assigned.

Minimum Qualifications:
Bachelor's degree in a related field.
Preferred Qualifications:
Education beyond the minimum required.
Previous experience working in Banner.
Experience with digital records management.
Working knowledge of nonprofit organizations.
Knowledge, Skills, and Abilities:
- Knowledge of methods and procedures used in collecting, analyzing, and maintaining computerized data.
- Excellent verbal and technical skills.
- Must handle confidential information in a discreet manner.
- Ability to operate a computer keyboard to enter data and developing digital records.
- Must have good judgement and decision-making skills.
- Strong computer experience including the use of scanners, Adobe Acrobat and Microsoft Excel.
- Strong interpersonal communication, organizational and problem-solving skills.
- Must possess significant experience in the following: computer applications especially AppXtender, Banner Advancement, and scanners.
- Must be a self-directed individual who can determine work assignments based on a set of established practices.
- Ability to work harmoniously with colleagues as well as with staff and students in a busy, changing environment.
- Ability to analyze information and communicate that information orally and in writing.
Working Conditions and Physical Effort
1. No unusual physical requirements. Requires limited lifting of files and records and nearly all work is performed in a comfortable indoor facility.
2. Frequent externally imposed deadlines; set and revised beyond one's control; interruptions influence priorities; difficult to anticipate nature or volume of work with certainty beyond a few days; meeting of deadlines and coordination of unrelated activities are key to position; involves conflict-resolution or similar interactions involving emotional issues or stress on a regular basis.
3. Job frequently requires walking, sitting, reaching, talking, hearing, handling objects with hands.
