The Zuckerman Institute at Columbia University is seeking a flexible and highly motivated individual to serves as the Lab Coordinator. Responsibilities include administrative and research support for faculty and lab members as well as managing relationships with the Marlin Lab and other affiliated organizations.
Primary responsibilities include direction for lab purchasing, financial planning and expense monitoring, research grants and contracts, compliance oversight, seminar and event scheduling, and ensuring efficient high-functioning infrastructure to support research and educational missions.
Responsibilities include, but are not limited to the following:
Lab Management - Safeguards proper compliance with safety procedures. - Oversee general laboratory operations and manage all activities related to proper use, availability, performance, maintenance, and availability of facilities, equipment, and supplies. - Serve as the key contact for IACUC and AALAC inspections, protocol renewals, and ensuring research compliance. - Partners with the Human Resources team to hire and train new personnel in compliance and proper laboratory protocols.
Budget Development/Administration - Participates in development and administration of annual and grant budgets; processes and monitors expenditures, reconciles budget reports, and forecasts projects budget discrepancies. - Oversees all purchases for the lab and compliance with any contractual obligations and manages/tracks reimbursements. - Support and monitor research related activities to ensure compliance with University and funding agency regulations - Maintain accurate and complete records to meet fiduciary responsibility and comply with audit requirements. Performs additional duties, and special projects as required.
Office Management - Responsible for office operations meetings; oversees group communications. Coordinates travel arrangements for staff and guests with a high level of attention to detail and flexibility - Serves as single point of contact for visitors and sales representatives. - Organizes and manages print and digital records, correspondence, and other files in the lab (equipment manuals, lab notebooks, etc.).
Bachelor's degree and/or its equivalent experience required. Up to 2 years of related experience. Must be highly proficient with computer applications. Prior experience with financial management a must.
Possess a strong ability to interact with tact and diplomacy. Strong organization skills and ability to respond appropriately to pressures, deadlines, and frequent changes in priorities and schedules are required. Incumbent must show solid initiative, sound judgment and the ability to work independently. Must be able to work independently as well as collaboratively, and take a proactive approach and anticipate needs.
The successful candidate must be flexible in nature, have a sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization. Must have a passion for excellent customer service and commitment to exceptional quality.
Basic grant management and prior lab research experience preferred. Prior experience in higher education administration is preferred.
