As a Contracts Coordinator you need to know how to: - Coordinate contract process, including preparation of legal documents, reviewing draft documents for review, and routing for approval and signature.
- Serve as secondary point of contact for Care Site departments entering into a contract, including interface and communication with SCL legal counsel.
- Maintain and manage the contract management database. Upload fully executed legal documents. Prepare weekly status reports on contract status, including forecasting and weekly status reports to Regional Contracts Director & Care Site Senior Team. Abstract contract data via regularly scheduled reports and on an ad hoc basis as requested. Educate and train Care Site departments regarding the contracting processes. Make recommendations for appropriate changes in contract procedures, filing and recordkeeping systems.
- Coordinate the annual contract review as required by applicable accreditation or regulatory bodies, including identifying the current contracts to be reviewed, developing/updating evaluation templates, and disseminating agreements and evaluation templates for review.
- Coordinate the renewal process. Prepare cover letters and other correspondence to the contract parties including formal notices related to contract compliance, renewal or termination as needed. Provide training to internal and external parties as directed.
- Assist in the development, management of the System-wide Record Retention program; serving as liaison to Affiliates and staff. Assist with legal aspects of Medical Staff relations as appropriate.
- Coordinate with Legal Services and other subject matter experts to ensure requests are meeting all regulatory, compliance and business operations requirements.
- Coordinate and validate physician agreement related invoicing to ensure contents meet, and do not exceed, contractual terms and conditions. Work with clinical, finance and compliance leads as necessary to complete accurate processes.
- Create, refine and update process workflows, educational materials, checklists and other tools which improve the service and quality of referral source contracting and invoicing for Care Site.
- Maintain and manage the contract invoicing database. Provide monthly status reports on invoicing issues and quarterly financial forecasts to Regional Contracts Director and Care Site Senior Team.
- Monitor federal and state healthcare legislation. Monitor federal and state legislation, case law and regulations for developments affecting 501(c)(3) organizations and the health care industry. Draft summary of new legislation for Care Site Senior Team. Analyze and handle procedures or problems that involve independent discretion and decisions.
Your experience. We hire people, not resumes. But we also expect excellence, which is why we require: - High School Diploma or equivalent.
- Minimum of three (3) years previous experience as a Paralegal, Physician Relations Management or Financial Forecasting & Accounting (Associates degree may substitute up to one (1) year of experience).
- Up-to-date knowledge of legal procedures and policies.
- Proficiency in project management, database management and the use of financial forecasting and tracking software.
- Ability to notarize legal documents as requested.
Prefer: - Associates or Bachelorâ™s degree.
- Current certification in Healthcare Compliance (CHC) or Paralegal certification.
- At least five (5) years of contract administration experience in a healthcare environment.
- Experience developing and managing internal workflows and approval processes for legal or financial departments.
- Understanding of hospital operations.
