About the Job
The position works independently and in partnership with the Division of General Internal Medicine Director and Administrator to provide management and programmatic support with a focus on quality improvement, data management, project management and human resource coordination.
Essential Functions or Job Duties
1. Internal Communications Coordinator (40%) • With assistance of division leadership develop and implement a division level communication plan which includes content management, copywriting/editing, basic graphic design, email campaigns, distribution list management, and digital and print informational ads and newsletters. • Manages the bi-monthly division newsletter, coordinates with departmental communications to ensure information is distributed appropriately. • Manages division annual report preparation and distribution • Ensures divisional, departmental, and clinical website information pertaining to our division and division faculty are accurate and up to date. • Creates, coordinates, and manages digital signage content, schedules, and user training. • Participates in meetings with department communications, proposes changes and escalates issues as needed. • Collaborates with medical school and M Health marketing and PR to ensure faculty communications and media representation are meeting guidelines. • Assists with monitoring of media channels for faculty accomplishments
2. Learner Programmatic Support (40%) • Support the activities of General Internal Medicine faculty by providing direct support for faculty education work (includes agenda setting, meeting management, and document preparation). • Responsible for effective management of Canvas site for the division’s educational faculty.
3. Rotation Coordinator (20%) • Coordinate schedules for three clerkships, EPIC and resident immersion rotations in the Primary Care Center Clinic and serve as programmatic contact. • Provide e-value and RMS faculty evaluation summaries to division director as requested. • Coordinate preceptor coverage for resident clinic and keep scheduling apps accurate.
Required Qualifications • BA/BS or a combination of related education and work experience to equal four years. • Advanced Excel skills. • Proficient in using Google applications (i.e., Google Calendar, Mail, Drive, Docs and Site) • Demonstrated ability to work independently and as a part of a team. • Demonstrated excellent verbal and written communication skills. • Demonstrated ability to work in a fast-paced environment. • Must be a creative problem-solver; be able to think “outside the box.” • Ability to multi-task and track multiple simultaneous projects. • Ability to assimilate new systems quickly.
Preferred Qualifications • Proficiency with web content management systems and digital signage applications. • Project management experience. • Excellent judgment skills; know when to ask questions. • Strong interpersonal skills. • Experience in higher education,with an emphasis in Medical education.
