Responsibilities The incumbent will report to the Director of Business Operations who is responsible for managing the administrative services and general/financial operations of the Clinical Affairs Division. The incumbent will be assigned to the Associate Chief Medical Officer and the Physician Advisors Program, the Medical Director of Managed Care and the Chief Wellness Officer. The incumbent is to provide analytical and administrative support directly to the Associate Chief Medical Officer and the Physician Advisors Program, the Medical Director of Managed Care and the Chief Wellness Officer. The incumbent will be responsible for the development and implementation of efficient and effective systems for scheduling, managing information, projects and communication to ensure accurate and timely action. Provides leadership and direction to ensure comprehensive coordination, allocation and management of each executive's time commitments, the Physician Advisors program scheduling and analytics. Independently performs the full range of responsibilities needed for strategic time and resource allocation. Ensures schedule and time management operations run smoothly while independently demonstrating skill and judgement in selecting methods and techniques for obtaining solutions. Perform a variety of analytical and public relations tasks in support of day-to-day operations and special projects
Experience performing executive administrative functions and managing analytics of projects/programs for a senior manager in an executive-level office in a fast-paced environment with competing demands.
Experience handling highly sensitive and confidential issues that require independent judgment and discretion, managing strict confidentiality of sensitive, confidential and/or privileged information, data, and documents.
Proven experience using strong interpersonal, customer service and communication skills to interact and communicate in person, over the telephone, through electronic email, etc. and to positively represent the Associate Chief Medical Officer, the Medical Director of Managed Care and the Chief Wellness Officer appropriately.
Writing, editing, and proofreading skills, with strict attention to grammar, spelling and punctuation, to produce correspondence and other written materials that reflect the high standards and professionalism of an executive office.
Experience providing analytical, administrative, and project management support to a high-level administrator of a large complex organization.
Experience using various software programs (word processing, spreadsheets, databases, presentation software, etc.) to accomplish assignments.
Experience gathering and synthesizing information from a variety of sources to translate, define and present the information to others.
Experience coordinating day-to-day business operations, making recommendations, and implementing improvements
Organizational and time management skills to establish goals, set priorities and manage deadlines; to multi-task and adjust priorities; to adapt to many environments, directions and duties as the executives' needs dictate.
Bachelor's degree in related and/or equivalent experience/training.
Experience with other UCD Health computer systems.
Proven ability to apply high ethical standards to operational practices and decision making to ensure University policies and procedures are thoroughly communicated to provide context to leadership in the decision-making process.
Excellent attention to detail and organizational skills in all areas of performance.
Must be a self-starter and experience working with minimum direct supervision.
