Proactive engagement with state association leaders to identify needs, connect them to resources and forge strong relationships with AANA. Facilitate the creation, organization and exposure of AANA resources to state association leaders. This includes participating in the development of toolkits, templates and related content on the AANA website. Additionally, provide project coordination for the SMA Division with special emphasis on coordinating the activities related to the electoral process, organizational assistance and funding for state associations, and assist in staffing committees while maintaining an extensive knowledge of the organizations policies and procedures. This role will collaborate with state leaders and staff across the organization to ensure that state associations are well served by the organization and help identify and implement new opportunities for enhanced state association services and advocacy support. All staff are expected to foster a workplace culture that promotes divergent thinking, openness, respect, trust and the desire to be epic. | KEY AREAS OF RESPONSIBILITY WEIGHT | FUNCTION | 15% | Proactively identify state association needs for support, advocacy and services and assist in determining whether those services could be provided by staff in the State Management Affairs (SMA) Division, other AANA divisions/departments or by third-party resources. | 10% | Promote state associations engagement with AANA resources, and consultation that is available on association best practices and the procurement of services such as legal, lobbying, association management, web development, etc. | 10% | Manage the coordination of in-house services and support for state associations, including referrals to third-party resources that may support the needs of the states. | 5% | Develop and maintain an inventory of AANA resources and services available for state associations and familiarize and educate state leaders on these resources. | 5% | Assist in the identification and selection of third-party resources to provide services to state associations (i.e., association management services, accounting and tax services, strategic planning facilitators, website management, public relation, meeting planning services, etc.) | 5% | Assist in the development of sample templates for requests for proposals (RFPs), model scopes of work (SOWs) and sample contracts for third-party resources working with state associations. | 5% | Manage the creation and maintenance of a database of state association information along with analysis of state requests, resources, etc. | 15% | Coordinate and implement the annual electoral process project plan with the Senior Director, State Management Affairs (i.e., assist candidates’ in the submission of candidates’ background information, coordinate with other areas candidates’ campaigning activities, ad space, eblasts, candidate forum, preparation of ballot and candidates’ information and election results with election services coordinator) | 10% | Assist the Senior Director of State Management Affairs with staffing activities for the Leadership Identification Committee and other task forces as assigned. This includes preparing background documents for meetings/conference calls, preparation of draft minutes, preparation of draft executive summaries for BOD action and following up on action items as directed, preparing and maintaining the committees’ communities on the website, etc. | 10% | Prepare the electronic survey instruments for two major annual surveys using Verint or a similar survey tool and coordinate the data collection and dissemination for these surveys with other areas as appropriate. Provide specific member survey information as requested by AANA members and staff and prepare slides with national and state specific membership data. | 5% | Coordinate the annual Organizational Health Allocation (OHA) and Borderline States’ Funding for eligible state associations with the SMA team. Prepare communications, training and assistance to state leaders as necessary. | 5% | Regularly communicate with state association leaders to maintain current state association leadership rosters and state association meeting dates and locations. Maintain accurate records in Aptify for all state association leaders and prepare annual membership dues revenue projections for each state association. | KNOWLEDGE & SKILLS Experience: - Strong customer service/member service skills.
- At least five years of association management experience. Health care association management experience is a plus and a focus on state associations or chapter relations is preferred.
- Demonstrated ability to effectively engage volunteer leaders using multiple communication methods (written, oral, social media, etc.) and tailor programs to fit different needs.
- Advanced IT skills and proficiency with MS Office and volunteer or association management software and content management systems.
- Strong written, oral and presentation skills.
- Demonstrated ability to function as an effective member of a team, prioritize work effectively and make sound decisions in a timely manner.
- Strong project management, organizational and customer skills.
| Education/Certification/Licenses: - A Bachelor’s degree in related field of study relevant to this position.
- Master’s degree or other leadership/training designations is a plus.
