PURPOSE: The Sr. Operations Manager will directly oversee the operations of the Office of Research Administration (ORA) for the School of Medicine. Reporting to the Assistant Dean for Research Affairs, the Sr. Operations Manager will direct business transformation initiatives in support of the ORA FY21 strategic plan. The Sr. Operations Manager will develop and direct an educational program aimed at building organizational improvement capabilities throughout ORA and across the School of Medicine departments supported by ORA. This position will deploy business transformation methods, including strategy deployment, Lean, Six Sigma, project management, change management and other improvement techniques as applicable to deliver rapid and measurable business results, including enhanced research administration services delivery. The Sr. Operations Manager will advise and collaborate with School of Medicine executive leadership, Principal Investigators, and Departmental Directors on a wide range of operational and strategic initiatives. RESPONSIBILITIES: - Management of Operations
- Oversee the day to day operations of School of Medicine ORA
- Attend to staffing/HR issues, including hiring, training, onboarding, personnel actions as required.
- Process Development/Improvement
- Supports ongoing review and analysis of current ORA processes and procedures to identify gaps and inefficiencies;
- Implements process improvements
- Draft, finalize and update formal SOP’s for each ORA function;
- Work with Assistant Dean to perform ORA systems analysis to support workflow
- On an ongoing basis, implement process improvements overseeing beta testing and adoption processes as well as conducting trainings for internal and external users
- Data Reporting/Metrics
- Work with Assistant Dean to implement formal benchmarking and metrics for ORA service/accountability;
- Oversee implementation and publication of service expectations to internal and external ORA users;
- Manage data collection and analysis process for ORA performance/accountability;
- Work with ORA staff to implement established expectations through formal training and monitoring programs;
- Prepare regular reporting with Assistant Dean on ORA progress, proposal and award status, and ORA performance for publication to the School of Medicine on a regular basis
- Communications
- Work with Assistant Dean to establish a formal communications plan for ORA for optimal and measurable message delivery;
- Collaborate with institutional stakeholders to optimize ORA service delivery
- Complete launch and management of ORA Grants and Contracts website;
- Coordinate and manage ORA communication channels for formal feedback from internal and external users for benchmarking and performance evaluation.
- Training/Outreach Management
- Conduct formal training programs for internal and external ORA users;
- Serve as institutional representative for coordination of all sponsored projects related training;
- Engage department leadership to synthesize and improve communication and training on all research administration matters.

REQUIREMENTS: Education: Advanced degree in related field required, such as an MBA or M.S. Experience: Requires 7 years related experience; at least 5 years supervisory experience. Skills: Must be able to learn quickly, read analytically, and write well and fluently. Requires strong typing and computer skills (Word, Access, and Excel), excellent spelling and grammar, and the ability to communicate clearly. Other: Excellent oral and written communication skills with ability to interface and influence at all organizational levels. Proven ability to quickly develop credibility with executives, mid-level leaders and staff. Ability to clearly articulate the vision and plan for enterprise excellence and to effectively align resources to execute excellence in and passion for training / facilitating of diverse audiences. Knowledge of information dissemination and advocacy techniques, including alternative ways to inform and motivate via written, verbal and visual media. Proven record of accomplishment and relentless drive for continuous improvement Proven ability to transform an organization to deliver long-term operational and /or financial performance. Requires skill and experience in methods of improvement and theories of change. Clear evidence of formal training and successful application of Lean Six Sigma, sigma techniques, Agile, Total Quality Management and/or PMP training, and advanced analytical skills. Strong facilitation skills. Proven ability in leading projects to drive positive outcomes. Position requires a high level of organizational skills to manage projects, timetables and implementations; advanced interpersonal skills to direct and coordinate the activities of multiple departments, to positively communicate and work with professionals at all levels of the organization; analytical ability to develop and interpret application of literature, data and the like.
