ADMINISTRATIVE ASSISTANT 3 , Plasma Science and Fusion Center (PSFC) , to perform a broad range of administrative activities and special projects for the director. Will handle all administrative matters related to the director's calendar and meetings; represent the director to high-level stakeholders and handle complex inquiries; manage all aspects of the director's schedule and operational activities, including travel; prepare itineraries and agendas for multiple constituents; function as a high-level contributor/coordinator on multiple projects; collaborate with headquarters' administrative staff on executing events and administrative projects; write and edit correspondence/documents, design PowerPoint presentations, and contribute to correspondence/briefings/reports; monitor office supplies; process requisitions, purchase orders, and travel/expense receipts; initiate changes to and update policy and procedure documents; conduct project research; respond to emails or draft responses for the director; assist with budget management; and handle a variety of other duties as requested.
Job Requirements REQUIRED : high school diploma or its equivalent; five years' experience, preferably as a senior-level administrative assistant; excellent organizational, time-management, project management, writing, communication, collaboration, interpersonal, customer service, and problem-solving skills; sound judgment with confidential matters; self-motivation and a proactive approach to work in a fast-paced environment; advanced-level proficiency with Microsoft Outlook (Word, Excel, PowerPoint) and expertise using the Internet and on-line tools, e.g., Dropbox, Google calendar, and GoogleDocs; attention to detail; and familiarity with event planning. Must be able to multitask, interact effectively with people across all levels, work effectively as a team member and individual contributor in a dynamic and challenging environment with changing priorities, and transport marketing materials and computer equipment weighing up to 25 pounds.
