As part of our team, your day- to-day duties and responsibilities: As a team member, you will be responsible for performing a broad range of project management logistical and administrative support duties to ensure that the office and related work are being managed timely, efficiently and effectively. As you progress, you will directly oversee certain smaller renovation/TI projects as experience and skills meet and/or exceed our business standards. This includes travel to local sites as well as traveling in the U.S. You will serve as the go to person for any potential and ongoing project coordination, logistics and administrative needs to include: New and Current Construction and Renovation Projects - Assist Project Manager and/or Director of Project Management to plan, execute and control projects ranging from tenant improvements (TI) to renovations to new development;
- Help identify, evaluate and select project team of consultants and contractors;
- Coordinate and attend project meetings and site visits; prepare respective minutes/notes;
- Coordinates presentation of information in one-on-one and small group situations to vendors, subcontractors and other employees of the organization, through excellent communication skills
- Help draft contractor/vendor contracts, agreements and purchase orders;
- Prepare monthly internal and client project status reports and evaluations;
- Coordinate commissioning, testing, inspections and punch list activities;
- Expedite preparation of as-built, record, warranties and close out documentation;
- Receive and code project invoices, applications for payment, and supporting documentation;
- Compile monthly funding/draw packages and work with owner/lender to get invoices paid;
- Maintain project financial tracker spreadsheet to reflect latest budget, commitments, invoices, payments and projections;
- Assists with tracking the following items: RFP's, submittals, issue tracking, change orders and bids, scheduling, create and maintain multiple spreadsheets.
Potential Business Opportunities - Support preparation and distribution of bid packages; evaluate proposals received;
- Assist with estimates and prepare proposals for new engagements.
- Track the submittals and RFI processes to advise team where attention needed;
- Composes professional business-related correspondence
Project Completion - Compile funding/draw packages and work with owner/lender to resolve outstanding invoice payments,
- Pull together and coordinate project summaries to support Company marketing and sales efforts;
