The Division of Finance and Administration (DFA) provides services and support to over 50,000 students, faculty, and staff with the mission of advancing UCI's brilliant future and the vision of becoming world-class campus partners. Working closely with campus financial management, the UCI Controller's Office is a trusted strategic partner divided into three core teams: Accounting & Fiscal Services, Procurement Services, and Financial Services. The Accounting & Fiscal Services team ensures the integrity of UCI's financial reporting, enables effective and efficient campus financial processes and controls, manages contracts and grants funding at the post-award stage, and champions compliance with policies, laws, and regulations. The Procurement Services team leads through best practices in the acquisition of quality goods and services by implementing processes and procedures that deliver high quality expertise, significant value, and excellent customer service. Finally, the Financial Services team provides support and resources to campus in the areas of billing, collections, payments, disbursements, loan administration, and student tax information. In all these areas, the Controller's Office is always dedicated to providing effective and efficient customer service in support of UCI's mission and goals.
The Special Assistant applies advanced technical project management frameworks and methods to campus, medical center or Office of the President objectives to resolve highly complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Determines methods, techniques and evaluation criteria to obtain results. Manages projects of broad and diverse scope, size, impact, budget and / or project team size, with considerable impact to the organization. Specifically supporting the Controller's Office, applies advanced technical project management concepts. Has overall Controllers Office project management responsibility and may lead a team of subject matter experts in specific Controllers Office projects or UCI sub-projects that the Controller's Office significantly supports.
Seven to ten years relevant experience or a combination of education and experience in Project Management in an IT environment.
Five to seven years of staff experience in higher education.
Two to five years of demonstrated organizational portfolio development and management experience.
Knowledge of change management principles and two to five years of demonstrated experience developing and executing change management plans with complex projects within higher education.
Bachelor's degree in related area and / or equivalent experience / training. Professional certification preferred.
Project Management Professional (PMP) certification.
Requires advanced knowledge of project management principles, theories, and concepts.
Experience executing various Software/System Development Life Cycle processes (SDLC) including waterfall and agile project management methodologies and techniques.
Working knowledge of technology-related initiatives and an understanding of impact to the organization of such initiatives.
Demonstrated capacity to anticipate obstacles and plan for contingencies.
Demonstrated attention to detail. Demonstrated ability to determine relevance and prioritize tasks.

High proficiency using Microsoft Project, and Wiki to create and update project schedules including dependencies, critical path, resources, estimates, budgets, and required reports. Intermediate to advanced skills in MS PowerPoint, Word, Excel, and Visio.
Experience leading a team of technology professionals.
Ability to apply data analytical and development skills in collaboration with IT professionals to fully utilize the capabilities of business intelligence tools to support analytical, reporting, and planning efforts. Experience leading a team of technology professionals. MA/MS in related field.

High proficiency using SmartSheet, JIRA, ServiceNow.
Experience implementing IT projects within the University of California system.
Two years of experience developing Tableau dashboards.
Must have valid CA Drivers license and participate in DMV Pull-notice program. Must pass background check.
