The GME Program Associate partners with the Residency, Fellowship, and Medical Student Program Managers and all Program Directors/Faculty within the Department of Obstetrics, Gynecology, and Women’s Health. They manage 42 trainees and 230 medical students across 5 training sites. Responsible for addressing or coordinating responses to all matters related to the Department trainees and medical students. Point of contact for all internal & institutional stakeholders. Responsible for tracking & ensuring trainee compliance with administrative & curricular requirements for graduating & board certification. Responsible for successful & efficient management of recruitment, onboarding, & scheduling. Assist with compliance with all programmatic, institutional, & national governing policies & regulations.
Residency & Fellowship Program Management (75%) â— Program Scheduling: work with trainees, program & site administration to input & maintain detailed rotation, call, & clinic schedules; develop & maintain educational conference schedules; oversee & manage PTO calendars and tracking â— Program Recruitment: assist & manage all aspects of annual trainee recruitment â— Program Events: assist & manage with all aspects of Research Day, Graduation, Department Appreciation/Welcome Picnic, Orientation, Bootcamp, OSCE’ s, trainee retreats, wellness events, and In-Service Exams â— Program Communication: create & manage program newsletters, website, & Google Sites; develop and implement ongoing document process improvement â— Program Finance: create & process expense reports, purchase orders, & check requests for program expenses; work within EFS software to manage financial forms & submissions; set up Vendors within the EFS to process payments â— Program Agreements: point person with institutional stakeholders for all program letters of agreements both internal and external â— Program General Support : administer trainee verification process; document retention, quality assurance & ongoing project management; participation in both departmental committee meetings & institutional program meetings; serve as key department resource
Medical Student (Clerkship) Program Management (20%) â— Site Coordinator for General Clerkship, M Health Rotation: manage, schedule, & troubleshoot all aspects of student rotation administration at UMMC site; including monthly site orientation â— Sub-Internship (Sub-I) Course Coordinator : manage & schedule four department advanced medical student rotations 1. Visiting Student Application Service (VSAS): select, manage, & schedule both US and International medical students for these Sub-I courses 2. Submission of evaluations and grading â— Program General Support: website & Google site design, management, and maintenance for all medical student courses; responsible for all correspondence with the general medical student email account; set up annual program faculty schedules for RPAP visits & breast & pelvic workshop; proctor monthly shelf exams â— Observers: manage calendar & schedule management
Grand Rounds & Departmental Education Activities (5%) â— Provide administrative support for logistics related to departmental educational events â— Provide administrative and technical assistance at monthly Grand Rounds â— Provide back-up and support for Grand Rounds administrative coordinator â— Update website regarding events
Hourly Range: $20.38 to $30.43 USD/hour

Required Qualifications: â— High School Diploma/GED and five years related experience to include project management. Coursework in a related field may substitute for some years of experience â— Demonstrated experience with process improvement, detail coordination & project management â— Ability to exercise independent judgement & discretion â— Demonstrated interpersonal & customer service experience in a multi-tasking environment â— Demonstrates resourcefulness; identifies errors and problem solves â— Excellent written, oral and presentation skills â— Experience with both small and large group, formal and information presentations â— Proficient Microsoft Office skills to include Word, Excel, and PowerPoint â— Proficient with Google to include: Calendars, Documents, and Drive
