Construction Company on the Peninsula is seeking a Project Coordinator/Administrative Assistant who enjoys working in a fast paced environment. Basic job responsibilities and requirements are outlined below: o Responsible for fielding phone calls in a friendly, professional manner o Performs clerical work such as typing, filing, and completing special projects o Sends Invitations to Bid, updates and prepares Bid Form and all other required bid documents for submission to client. “Bid Runner” or delivering of bids, as needed/requested. o Requests Insurance and Bonds, if required, through insurance broker before Bids are due. o Prepare new project files o Processing submittals, R.F.I.’s, Change Orders, etc. o Issuing and tracking subcontracts and related documentation; acting as a liaison with construction and project managers as well as producing weekly and monthly construction progress updates. o Process project pre-liens o Provide assistance to field personnel o Create Social Media posts o Provide Support to Accounting Department as needed
o Comfortable with computer technology (Microsoft Word, Excel, PowerPoint, Project and Outlook, Impact). o Good attitude and professional appearance o Requires working closely with the estimators, project manager and following up on material orders and deliveries o Experience working on projects ranging from $75,000 to $3 million + o Ability to manage project duties accurately while adhering to project deadlines o Ability to work independently and be willing to work on construction job sites o Comfortable working under pressure, provide recommendations and effectively communicate updates o Ability to learn quickly with a “Can-Do!” attitude while juggling many tasks o Responsible, reliable team player with ability to be flexible in a fast-paced environment o Must be able to multi-task with minimal supervision and be detail-oriented o Strong organizational, communication skills and time-management skills o Good communication skills with subcontractors, Owners, Architects, etc. o Excellent attendance and punctuality o Excellent written and verbal skills o LEED certified – A plus but not required o Experience working in the construction industry a must! o Conversational Spanish Skills
