Dykema Gossett PLLC, a leading national law firm, is recruiting for an Information and Records Manager to work closely with the Director and Office of General Counsel to evaluate, research, and recommend Information and Records Management (IRM) solutions. The Manager will work closely with vendors, suppliers, and other external sources to assist in the evaluation of systems. The Manager will identify and establish goals and objectives of the IRM program to support the Firm’s strategic plan; oversee and coordinate the Firm’s established policies and procedures; and assist in creating and implementing Firm policies required to implement and support the IRM program. The position is open in any of our office locations in California, Illinois, Michigan, Minnesota, Texas or D.C
Identify projects and coordinate resources to ensure projects succeed and organizational goals and objectives are met.
Define roles and responsibilities for IRM staff to support the strategic plan.
Implement and manage processes associated with regulatory obligations, industry benchmarks, and organizational requirements to achieve and demonstrate IRM compliance.
Demonstrate a continuous effort to improve department operations, optimize turnaround time, and streamline work processes to enhance service to stakeholders.
Collaborate with the Director, OGC and PGLs to create and implement IRM/IG policies, procedures, and retention schedules.
Analyze key performance indicators and prepare reports that will help management and stakeholders demonstrate the success of the IRM program.
Manage information retention and disposition in compliance with IRM program policy; legal, regulatory, contractual, and audit requirements; and business needs.
Establish and implement organizational policies and practices to preserve and maintain vital records.
Manage IRM storage facilities (onsite and offsite) to ensure the security and protection of Firm information assets.
Conduct a regular assessment of the IRM program.
Collaborate with the Director and OGC to develop and implement the legal hold process and the resumption of information destruction.
Assign duties and audit work for accuracy, organization, and compliance to policies and procedures.
Oversee file transfer process including attorney departures in compliance with Firm policy and regulatory requirements.
Perform annual evaluations of direct reports.
Comply with policies and processes for providing appropriate access to organizational information.
Assist the Firm’s attorneys, department, or personnel on records procedures including organization, retention, and disposition.
Occasional travel to Firm offices is required.
Bachelor’s Degree in Business or related field preferred or a comparable level of Information and/or Records training and experience. Master’s Degree in Library and Information Science or Certification in Information and/or Records Management preferred.
Three - five years of work related experience including supervisory responsibility, project management, and organizational work in a legal environment or corporate setting required.
Excellent written and oral communication skills.
Strong project management and analytical skills required.
Expertise in MS Office Suite, particularly Excel required. Experience with LegalKEY or other records management tools, project management software and NBI tools preferred.
Ability to lift and transport moderate, 20 to 25 pound boxes; repeated lifting, stooping and bending.
