Provide advanced project management support to HR Project Management Office (PMO). In this role you will support medium to large project teams and PMO leadership, participating on projects within defined scope and responsibility and providing support for tools used to manage the PMO. You will partner with teams and our department to develop, manage, and report on work progress, tracking of risks and issues, updating financials and providing project administration support. This role is responsible for SharePoint site administration for the team and project sites owned by HR PMO in addition to JIRA administration for the PMO. The Sr. Project Coordinator may also manage smaller projects with assistance from a project manager or director. Additionally this role will work with PMO leadership to support management processes including Governance, HR Intake, annual planning and assisting with executive level presentations.
Develop and maintain project plans in MS Project and assist in tracking progress against plan.
Assist in tracking risks, assumptions, issues, decisions and open questions and follows up as needed or as directed by program/project manager.
Assist with HR PMO weekly status dashboard updates, reporting and distribution.
Create and update project lifecycle documentation including Project Charters and Test Plans using company methodologies (AQMS) and tools.
Create PowerPoint and Visio documentation to facilitate understanding of project status, complex project issues as well as to document project or process flows.
Assist with creating and updating project forecast spreadsheets as needed.
Arrange project meetings and ensure successful meeting facilitation including the management of attendee availability/confirmation, room assignments, catering, etc.
Create agendas and document meeting notes including decisions and action items.
Lead small projects or analysis efforts with direction from program/project manager.
Manage the monthly financial reporting process for the HR project portfolio using formula driven excel workbooks. Maintain portfolio level financials including plan, current and previous forecast, actuals, and variances by work stream, review gates, and/or department/unit.
Provide Project Central support for the HR PMO including new project set up, security role changes, documentation management, etc.
Manage the HR Intake function - create weekly agenda and schedule new presenters as needed, facilitate meetings, maintain intake documentation and follow up as needed to action requests.
Assist PMO leadership with HR Governance by creating and maintaining HR Governance schedule, preparing agenda, distributing meeting materials and managing any follow up actions or documentation.
Create presentation materials and support PMO leadership with executive level presentations.
Coordinate project resource changes, including space, equipment, and update of project documentation (team lists, organization charts, etc.)
Maintain project documents and other information in the project repository ensuring easy access and usability by the project team.
Manage and provide site administration for the HR PMO team and project Share Point sites.
Manage and provide administration for project JIRA sites and management of HR JIRA template.
Bachelor's Degree or equivalent.
3-5 Years' of relevant experience.
Expert level MS Office Skills including Word, Excel, PowerPoint, MS Project and Visio.
Experience with project financial tools (e.g. Project Central)
Experience with SharePoint site administration
Excellent communication skills - both verbal and written, including meeting facilitation.
Strong organizational, relationship management, personal workload management, problem solving and initiation skills.
Ability to manage competing priorities, manage multiple tasks and work within tight time frames and deadlines.
Demonstrated experience executing project management processes and tasks, using a variety of methodologies and tools.
