THE OPPORTUNITY: This position provides operational support to the development and communications program through functions such as data integrity and management, report generation and analysis, donor gift entry, reporting, the stewardship process, event support, general tasks and other projects as assigned. While this is primarily an internal project management position, there is frequent interaction via phone with donors and other constituents to answer questions, assist with gifts and say thank you as well as onsite interactions during Board meetings, tours and other special events.
RESPONSIBILITIES AND SCOPE:
Data analytics, database management and reporting:
Develop standards, monitor and evaluate all processes that influence the quality of services to donors e.g. correspondence, reporting of financial information, gift acknowledgement, recording of donor data, recognition, stewardship, etc.
Analyze giving statistics such as churn to provide information which can drive development strategies and determine return on investment in specific tactics
Identify ways to leverage the donor database’s potential; provide ongoing reports to team designed to gauge the effectiveness and depth of progress and activity. Recommend strategies based on these analytics.
Process all donor pledge transactions to Raiser’s Edge NXT database ensuring timely and accurate reporting of revenue including both paper pledge forms, online digital gifts and third party campaign results. Utilize appropriate processing approach for timely, efficient and accurate recording using industry best practices. Ensure confidentiality in all records.
Reconcile fundraising software to processed pledge batches. Identify and resolve any discrepancies. Work with accounts receivable on all deposits, posting of payments and balancing database to general ledger.
Maintain accurate database of constituent information. Create new accounts, remove account duplications and make other changes as needed to maintain data integrity.
Run reports, exports and other dashboards as requested by the CDMO to monitor revenue. Assemble metrics that are used for Board of Directors and other meetings. Ensure the information needed for reporting progress is accessible and accurate. Review reports for accuracy notifying CDMO or finance team of any discrepancies. Resolve in a timely manner.
Assist the Digital Marketing and Content Officer in any database needs. Responsibilities could include preparing email and mailing lists for correspondence, importing and exporting lists from web gift processing partner, accurately updating and running reports from Raiser’s Edge, maintaining membership databases and communication lists, and assisting with other database logistics as needed.
Develop system to produce requested mailing lists and review all mailing lists to ensure quality of information, accuracy and conformity to organizational mailing standards.
To optimize efficiency and reduce the risk that data quality issues will impact revenue success, lead robust data quality program best practices including running National Change of Address, Postal Certification, Deceased Suppression and other key appends and validations to maintain data integrity.
Serve as primary liaison with technology partners such as Blackbaud. Identify and assess new partnerships as needed.
Evaluate other current practices, provide input for and implement any process improvements.
Serve as the primary Development liaison to the finance team in ensuring that issues relating to gift processing are resolved.
Train other team members on donor database system as needed.
Provide reliable, accurate and timely responses to questions from internal customers.
Donor support, stewardship process and other responsibilities:
Lead development and facilitation of donor recognition program ensuring touch points within each donor segment are high quality and achieved on timeline.
Manage overall framework for donor acknowledgement process. On a weekly basis, process acknowledgement letters and other stewardship items. Ensure donor communications are high quality, accurate and timely.
Ensure excellent customer service. As needed, respond to donor inquiries and requests in a timely and professional manner along with conveying a willingness to help. Respond to any inquiries or issues regarding payments, communication preferences, contact information, etc.
Develop system for managing team budget. Track and monitor annual spending. Process expense reports for CEO and CDMO as needed.
Create accurate and professional looking reports, documents, spreadsheets, PowerPoint presentations, etc. using a variety of different sources for content and data.
Manage phone calls and email follow-up in a professional and timely manner.
Suggest ways to improve efficiency and troubleshoot issues as they occur.
Welcome visitors and special guests by greeting them in person and helping facilitate a positive guest experience. Assist with tours and on-site group and general public events as needed.
Maintain confidence and protect operations by keeping information confidential.
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks and participating in professional societies.
Contribute to team effort by accomplishing projects as assigned.
Develop and maintain positive relations with all staff, departments, and donors, volunteers or Board Members. Serve in a highly collaborative and supportive role to accomplish key projects.
Proactively assume responsibility for other varied tasks and projects as assigned.
Attend training regarding chimpanzee safety, well-being, and species-type behaviors; seek out other learning opportunities to advance knowledge in other areas like technology, fundraising, etc.

Represent Chimp Haven in a professional manner at all times.
Bachelor’s degree in business or related field.
At least four years of experience in non-profit fundraising or operations preferred.
Experience working with a donor or customer relationship management database preferred.
Advanced skills in Microsoft Office, particularly Word and Excel.
Strong project management skills with timely and consistent attention to detail and follow-up. Excellent comprehension, analytical and reconciliation skills are all necessary for this role.
