This position provides general administrative and logistical support to the Swearer Center community of students, staff, faculty and community partners. This position supports a portfolio of Swearer Center programs by processing financial transactions (reimbursements, invoicing, payments, purchasing, student hiring and stipend processing); supporting events (food ordering, room reservations, equipment, and AV rentals); and booking travel (hotel and flight reservations).Â The Administrative Coordinator will serve as liaison with internal Brown constituents (Academic Finance and Administration, Event and Conference Services, Computing and Information Services, and Facilities Management) and external constituents (contractors, guest speakers, and vendors). The position supports building maintenance, inventory, and supply ordering; supports Center-wide events (meetings, retreats, fairs, conferences); provides front-desk reception coverage by answering routine questions in-person and by phone and email; and works as a member of the Operations team to maintain and improve the Centerâ™s policies and processes. The ideal candidate is customer service focused, detail-oriented, resourceful, organized, efficient, proactive, self-motivated, and committed to social justice.
High school degree required and 2-4 years of related experience, or the equivalent combination of education and experience; some college strongly preferred.
Administrative experience in an academic or higher education setting preferred. Experience processing financial transactions (reimbursements, purchase orders, etc.) preferred.
Excellent organizational, administrative, and time-management skills plus meticulous attention to detail.
Ability to efficiently manage multiple tasks with competing priorities.
Ability to work independently as well as part of a collaborative team.
Ability to take initiative and prioritize in a fast-paced environment. Ability to take initiative and anticipate the needs of the organization.
Strong customer service orientation. Excellent interpersonal/communication skills. Ability to interact professionally with multiple audiences and people from diverse backgrounds.
Excellent computer skills in word processing, spreadsheet/database and email applications (Google environment--mail, calendar, drive, sites, Microsoft Suite); experience with project management systems (Basecamp) and other IT systems (Workday) preferred.
