Position provides management and administration of Division's financial and business affairs and operations, managing division office, supervising and nonacademic personnel. Supports the goals and objectives of the Office of Education (OE), provides a high level of service and contributes to defining and maintaining best practices of management across domains of finance, human resources, and business affairs functions for the Office of Education. In collaboration with Executive Director of Education Administration, seeks to maintain a culture of accountability by seeking points of interface and integration throughout the Education continuum. Implements and contributes to the maintenance of standard processes, project templates, tools, and guidelines to support the application of a standard policies, developmental programming, and project management methodologies across the Office of Education. Has shared oversight of the financial and risk mitigation control activities for the entirety of the Medical Education enterprise. This position will provide day-to-day management of the Office of Education’s Business Office and related staff FTE.
PRIMARY DUTIES AND RESPONSIBILITIES:
Prepares financial reports, impact statements, forecasts and budgets for management and funding agencies. Compiles and maintains income/expense records.
Manages division office and non-academic personnel. Responsibility for the day-to-day management of the OE Business Office. Supports payroll and seeks improved efficiencies for internal financial processes, effective workflows, and efficient document processing. Participates in annual budget planning process. Maintains personnel files and processes non-student payroll.
Coordinates preparation of grant applications and funding proposals, oversees training of grants management.
Coordinates and carries out special projects. Develops work plans for planning projects with key data elements, priorities and assignments, deadlines and meeting dates. Proactively identifies changes in work scope and ensures appropriate planning measures are taken to reassess, renegotiate and amend scope of work responsibilities, proposals, contracts, and budgets.
Supports a full range of administrative functions of the Office of Education. Assists in defining components of mission based efforts, including participation in the assessment of required human capital, dedicated technology, physical space, and other non-salary expenses as necessary.� Assesses need, evaluation and purchase of office equipment.
Collaborates with Executive Director to oversee administrative activities of the Office of Education, provides leadership to committees and projects related to OE initiatives and the OE strategic planning process as assigned.
Equivalent of Bachelor’s degree in finance or related field.
Master’s degree in business, healthcare management, or education with five years or more experience actively working in medical education finance.
Experience with Workday.
Demonstrated experience and/or certification in project management, human resources, and finance.
Working knowledge of computer systems, database management, spreadsheets, with organizational, interpersonal and communication skills.
Ability to plan, organize, direct people and control resources.
Excellent oral and written communication skills.
Practical experience in budget preparation and reporting, accounts payable and receivable, payroll and year end closing.
Demonstrates ability to set goals, assign priorities, anticipate problems, establish limits, and achieve results.
Ability to complete multiple tasks with timeliness.
Ability to work effectively with a broad range of faculty, residents/ fellows, staff and students under frequent pressure from varied deadlines and job demands.
The hiring range for this position is $64,854 - $84,364 annually.
