Assist in the direction of the administrative and operational activities of a clinical department with diversified and complex programs in the areas of teaching, research, and clinical services. These activities include all human resources, information technology, project management, communication and operational activities needed to carry out the departmental goals effectively and efficiently. Work to ensure that the Department has sufficient resources and the appropriate operating environment to recruit and retain the highest quality faculty and staff and effectively operationalize departmental goals and initiatives. Organize departmental support functions and work to ensure the flow of high-quality management information and the smooth execution of work. Continuously seek to improve compliance with regulatory and internal policies, departmental resources, and efficacy of administrative services.
Primary Functions 1.Participate in strategic planning. a.Work with Department Administrator to ensure that the resources necessary to allow the Clinical Department to successfully implement short- and long-term plans are in place. b.Participate in planning and implementation of new initiatives and growth strategies, including analysis of internal and external resources and development and oversight of implementation plans. c.Systematically collect and use the data necessary to support planning efforts and to enhance departmental effectiveness. d.Supervise the implementation of annual strategic initiatives at the direction of the Chairman and Chief Administrator. Effectively guide and manage communications and project management teams to ensure initiative milestones and departmental goals are achieved.
2.Direct human resources activities and provide leadership. a.Work to ensure that the Department has the ability to attract, retain and motivate the right people to achieve outcomes for the department. Perform a wide variety of departmental personnel activities, including assisting the Chair and Department Administrator in the recruitment, appointment and promotion of faculty. Interpret MCW policies. b.Assist faculty to develop, post and fill a broad range of staff positions. Represent Department at various committee and work group levels. c.Work with General Counsel to develop and interpret faculty appointment language and affiliate contract language and work to ensure all contractual agreements are met. d.Provide leadership and supervision to ensure quality services are provided by a competent staff by setting high, challenging standards of performance and giving honest and timely feedback. e.Manage annual faculty and staff evaluation process, ensuring all supervisors are apprised of institutional and departmental processes and procedures. f.Supervise Departmental HR Team and ensure all divisional administrative staff are provided training to ensure institutional policies and procedures adherence. g.Supervise development of faculty and staff onboarding plans and ensure plans are consistently implemented by divisional leadership and administrative teams. h.Create annual HR training series directed at division administrative team members to ensure departmental and institutional guidelines are followed and provide professional skill development opportunities. i.Oversee all departmental search committee processes, ensuring departmental HR staff members are providing central leadership and guidance to committee leaders and members and consistency in recruiting practices.
3.Assist in the development and execution of efficient departmental systems. a.Responsible for the development, execution and evaluation of department administrative operations to include human resources, communication, space planning, IT operations, system design and development to support all department functions. b.Assist in the development of Departmental policy and procedure statements and implement approved changes to assure compliance with institutional policies. c.Work through Lean processing or six sigma to make department more efficient. d.Oversee Project management team to ensure identified efficiencies are implemented effectively.
4.Manage communication and marketing activities. a.Manage staff associated with departmental website and marketing activities, assuring the content regarding the Department presented to the public is accurate and current. b.Manages communications team, and develops communication plans for departmental initiatives, national conferences, fellow and resident recruitment, and faculty and staff development c.Oversees departmental social media presence and monitors content and usage
5.Act as department liaison. In order to promote the activities of the department, communicate institutional and departmental policies and serve as a resource on these policies and procedures to staff and faculty. Coordinate, plan and implement office activities and procedures.
6.Oversee space planning, facilities and management for the Department. a.Work to ensure that the Department maintains the space information management system (SIMS) database to effectively manage MCW facility space and physical assets. b.Effectively use space to manage facility costs, coordinate design services and maintain standards for facilities, furnishings and equipment.
7.Perform other duties as assigned.
Specifications Minimum Education:Bachelor’s Degree. Master’s degree preferred. Preferred Field of Study:Business, Administration, Healthcare or related field. Certification / LicensureNone. Prior Experience:10 years progressively responsible related management experience.
