The Office of Academic Affairs at SUNY Downstate is seeking a full time Executive Assistant to the Vice President. The successful candidate will: - Reports to the Assistant Vice President for Operations in the Office of the Senior Vice President for Academic Affairs. Primary staff support for the Office of Academic Affairs. - Provides courteous and effective assistance to all faculty, staff and students and visitors who interact with the Office of Academic Affairs. - Manages the Main office supplies, presentation and maintenance. - Anticipates needs and orders office supplies as required. - Maintains files for the Senior Vice President for Academic Affairs, the Office of Academic Affairs main office and the Assistant Vice President for Operations. - Drafts correspondence for Senior Vice President for Academic Affairs and Office of Academic initiatives. - Assists the staff of the reporting departments with clerical and/or other administrative tasks. - Completes and submits work orders for maintenance of offices and/or equipment. - Tracks purchase requisitions and human resources paperwork initiated in the Office of Academic Affairs. - Manages calendar and all appointments for the SVPAA and Assistant Vice President of Operations. (DUTIES AND RESPONSIBILITIES ARE NOT LIMITED TO THE ABOVE POSITION DESCRIPTION) QUALIFICATIONS: - A Master's Degree in administration or related field OR in lieu of a Master's Degree, a minumum of 5+ years experience supporting at the executive level with accountability of daily operations of the office, preferrably in a higher education and/or medical institution. - Superior planning, organizational and communication skills. - Exceptional eye for detail and thorough follow-up. - Must have the ability to execute multiple tasks within stringent deadlines and interact with a diverse population at all working levels.
