Job Summary/Basic Function: Job Summary: This position reports to the Interim Executive Director for OIES and also works closely with OIES team members. The person in this role is responsible for providing administrative and technical support to the department. The Administrative Specialist exercises broadly delegated authority in the administration of the department with regards to marketing communication, purchasing, accounting, office management, and other administrative activities. Responsibilities require communication and technical skills, considerable energy, initiative, judgement, reliability, confidentiality, cultural sensitivity, and organization and knowledge of department and University policies. Excellent customer service and collaboration skills are essential for success in this position.
Requirements: The Administrative Specialist develops communication plans and print and digital marketing materials, coordinates office processes and events and activities in support of the Office of International Education & Services.
Essential Functions: 40% - Assists in developing communication and marketing materials; provides program or procedural information related to the completion of forms and other related documentation using established standards and procedures; reviews and verifies the accuracy and consistency of information, data, records, invoices and other assignment-related transactions. Updates OIES web page and enters data to banner and adds and removes holds. 10% - Prepares and maintains routine and non-routine correspondence, reports, documents, records and files according to specific work direction, established standards and procedures; monitors supplies inventory and orders supply. 20% - In coordination with Study Abroad and International Student Recruitment Coordinators, the specialist contacts vendors for purchase and delivery information; monitors requisition information and related expenses, monitors and tracks expenses and may assist with the development of budget related materials and proposals and adheres to applicable policies and procedures. 10 Manages the interim executive director's meetings and takes and records meeting minutes. 10- Assists with event organization on and off-campus. 10% - Performs other duties as assigned
Minimum Qualifications: Minimum Qualifications: 1. Associate Degree in English, Communication, Marketing, Business, Psychology, Computer Science, etc. and a minimum of two years of communication and marketing, administrative office support or related experiences; 2. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail; 3. Computer literacy including proficiency in Microsoft suite, (Word, Excel spreadsheets, Power Point, Publisher) and design and presentation software. 4. Experience with event planning. 5. The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds is required. 6. Ability/willingness to work some of the evenings and on weekends
Desired Qualifications: 1. Two-year experience using Banner, Orgsync, SPSS, Excel, Social Media, 2. Two-year experience with visual presentation software and communication marketing 3. Two-year experience working with business and Industry partnerships 4. Two-year experience maintaining databases and spreadsheets 5. Two-year experience entering data, creating data reports, and writing reports; 6. Experience working with international students and scholars; 7. Experience organizing events and using print and social media to promote them. 8. Demonstrated understanding of governance and administrative processes used in publicly supported higher education institutions.
Preferred Qualifications: Preferred Qualifications: 1. 3-to-5-year experience serving in communication and marketing. 2. Bachelors degree in English, Communication, Marketing, Business, Psychology. 3. Data management; knowledge and experience with software. 4. Working with study abroad office and or international students; 5. Living or studying abroad; 6. Report writing and project management
