Key Responsibilities for Swanson School of Engineering (SSOE) Director of Strategic Business and Financial Operations position.
Strategic Financial and Business Advisor. Serve as a strategic partner and financial advisor to the Dean, Associate Deans, Department Chairs and senior level staff. Provide counsel and advisement to the Dean in the development and implementation of strategic initiatives and other matters of significance for the School. Direct and focus the School's business and financial strategic planning and operations to execute vision and mission of the School. Serve as the Dean's management advisor to establish and maintain organizational structures and staffing throughout the School to effectively accomplish the School's goals and objectives.
Works closely with the Office of Human Resources, Office of Diversity and Inclusion, Office of the Vice Provost for Faculty Affairs, and other entities on campus. Serve as an executive liaison for Associate Deans and senior level staff. Assess and recommend organizational changes to increase effectiveness and impact. Fiscal Operations and Organizational Oversight Oversee and direct the fiscal operations of the School. Oversee the management of the School's budgets (University, endowment, gifts and research funds) including providing supervision and direction to staff in the six Departments and other administrative and operational areas. Provide direction and oversight in the development and monitoring of the budget, review budgetary reports and projections, authorize expenditures, and ensure budgetary practices comply with the School's and University's budgetary policies and procedures. Oversee and direct the development of budgetary proposals. Integrate and work with Institutional Advancement for the management and implementation of endowments. Provide strategic management of current and fiscal opportunities using data analytics and forecasting methods.
Oversee daily business operations of the School, which includes ensuring appropriate coverage is maintained at all times, managing workloads of direct reports, and supervising support staff supervisors, training of the administrative staff in the School including new approaches to do specific tasks and new software. Work with the Associate Deans in preparing enrollment projections. Devise and implement effective school-wide communications strategies and ensure appropriate dissemination of information in the school and other pertinent University units (Provost Office, Affirmative Action, Budget Office, etc.) as needed. Human Resources, Faculty Affairs, and Payroll Oversee the School's HR functions. Provide strategic HR planning and resource deployment as a member of the Dean's leadership team. This includes developing a talent management strategy for the School including overseeing talent acquisition, professional development, retention, and stay/exit strategies and initiatives. Serve as a liaison to the University's Office of Human Resources and Faculty Records. Serve as a strategic partner to School department chairs, including providing guidance and advice in related human resources matters.
Oversee, manage, and participate in monitoring and evaluating the performance of staff, including managing performance metrics and providing analysis to School leadership. Ensure all HR activities comply with University HR policies and procedures. Supervise staff responsible for personnel-related functions. Determine staff developmental needs and coordinate developmental opportunities. Provide counsel on and create, revise, and implement School policies and procedures, ensuring compliance with University policies and procedures. Oversee the management of School's payroll function, including supervising the staff responsible for payroll processing and training them on procedures and rules for reporting faculty effort. Grant and Research Operations Serve as advisor for Grants and Contracts Operational Management within the School. Work in close coordination with the Associate Dean for Research in strategic planning of the school's finances in relationship to strategic plans and priorities. Assist and explore for the School new avenues for revenue generation.
This may include large-scale research and business collaborations that include research as well as revenue generation contracts. Coordinate with university offices and external entities regarding reporting for research and other business activities. Help to maintain compliances as well as prepare and provide documentation for financial auditors. M.S. (preferably an MBA) with at least 5 years experience in a managerial role or administrative role preferably in an academic environment. Experience in project management and budgeting. Ability to use and program spreadsheets.
