Reporting to the Head of Interlibrary Loan and Document Delivery, this position works to provide ongoing support and leadership for a staff of six full-time Library Assistants and up to 12 FTE student assistants sharing multiple interrelated responsibilities. The Interlibrary Loan Service uses ILLiad, OCLC, RAPID ILL and other tools to offer interlibrary borrowing service to the Vanderbilt University community, to deliver library materials to Vanderbilt faculty, and to provide interlibrary lending service to other institutions. The service borrows and lends locally, regionally, nationally and internationally, and actively participates in various resource sharing groups and consortia (for example, ASERL, SEC, KUDZU, ATLA). The service also cooperates with other VU library units to purchase materials for the permanent collections, and to obtain permissions for use of copyrighted materials in course packs and electronic reserves.
The Jean and Alexander Heard Libraries at Vanderbilt University is comprised of nine libraries, as well as service departments in collections services, scholarly communications, IT infrastructure, and digital scholarship. Vanderbilt Libraries holds over 4 million volumes and enables access to millions of e-resources, including over 900,000 serial titles. An active program of digital resource delivery and development is grounded in successful collaboration among library and university staff from Digital Scholarship Services, other library departments and university information technology staff.
Duties and Responsibilities
Supervise student assistants (around 10-15 per semester). This includes hiring, organizing training, maintaining scheduling, tracking attendance. Assist in supervising FT staff as needed.
Process ILL borrowing requests (search and verify citations, find and select potential suppliers, construct and transmit requests, handle receipt, circulation and return of borrowed items).
Process Faculty Delivery requests (identify, locate, retrieve and deliver ILL and Vanderbilt Library materials to campus department offices, or electronically).
Process ILL lending requests (evaluate and prioritize requests, locate and retrieve materials, respond/send/update records in relevant systems).
Monitor, troubleshoot, and follow up with users to ensure that needs are satisfied. Answer any questions/concerns from users that visit the office in person relating to any aspect of IIL and Faculty Delivery.
Monitor shipping going through delivery service, including initiating claims and following up as needed.
Assist lending coordinator with sending out and tracking invoices to borrowing libraries as needed.
Assist in managing implementation of innovations to ensure smooth upgrades, including doing testing of modifications before large scale transitions.
Cooperate with counterpart operations in the VU Biomedical and Law libraries.
Interact with VU library departments and with other VU and partner library staff to ensure that the unit operates smoothly within larger frameworks and meets the mission and goals of the Library.
Other duties as assigned
The Assistant Manager does not directly supervise permanent staff (currently 7) in the department but is integral to the training and guidance for staff to be successful. The position may directly or indirectly supervise a varying number of student assistants and unclassified or temporary employees. The position also provides substantial guidance to members of other service units in those areas of their work relating to interlibrary loans, faculty delivery, and copyright clearance.
