Rutgers, The State University of New Jersey is seeking a Staff Assistant for the Center for Advancing Research and Evaluation for Patient-Centered Care.
The goal of the Rutgers Center for Advancing Research and Evaluation for Patient-Centered Care (CAREPCC) is to unite those whose mission is to improve patient outcomes and experiences, and to take root within the institutional structure as a means of continuous evaluation and learning within our healthcare organization. CAREPCC strives to better enable patients across health systems to make informed decisions and play a role in their own care.
Under the guidance of the Director and Executive Director, the Staff Assistant performs a wide variety of administrative and support services within the Center. This position assists in the planning and support of program activities and special projects. The Staff Assistant coordinates office operations and communication.
Among the key duties of this position are the following:
As directed, provides advanced, diversified, and confidential administrative, analytical, computing and support services to CARE-PC Director, Executive Director, faculty and staff.
Coordinates and maintains the Center's calendar. Exercising discretion, applies informed independent judgment to help manage the Director and Executive Director's time. Makes travel arrangements and facilitates online meetings.
Performs office operations including secretarial/clerical work. Coordinates space and office equipment, internal reporting systems, and ordering supplies and equipment. Develops and maintains paper and electronic filing systems and databases. Evaluates office procedures, establishes standards, and recommends and implements new or modified procedures as needed.
Serves as liaison between the Center and administrative units within the University (e.g., research support team, purchasing, accounts payable, human resources and the office of information technology) and with external partners (e.g. vendors, sub-contractors, grant consultants, funding agencies, etc.).
Coordinates fiscal procedures within the unit, including budget monitoring and control. Prepares and files all financial paperwork to be processed internally through appropriate University channels. Ensures expenditures are in accordance with allocated funds. Coordinates special purchases and processing of invoices, honoraria, and stipends.
Prepares for and participates in a variety of in person and online projects, functions and/or program components (e.g. meetings, in-service events, workshops/trainings, conferences, presentations, speakers, guests, meetings, grant sponsored activities, etc.) for the purpose of providing or receiving information and supporting the needs of the attendees, faculty and staff. Completes activities and/or delivers services in a timely fashion.
Prepares and/or compiles data for special reports and analyses, monthly reports, program evaluations, surveys, and other related reports within prescribed guidelines.
Minimum Education and Experience:
Bachelor's degree, plus two (2) years of professional level experience in a business office, government agency or university setting.
An Associate’s Degree and experience may be substituted for the degree on a year-for-year basis.
Required Knowledge, Skills, and Abilities:
Strong organizational skills, attention to detail and the ability to work both independently and as part of a team.
Strong oral and written communication skills and ability to prioritize work across multiple projects.
Computer skills required: Microsoft Office Suite including Visio and MS Access, Adobe Acrobat, Oracle Expense Management, MarketPlace, PeopleSoft, and Ingeniux digital content management.
Must have demonstrated experience with social media platforms including Facebook, LinkedIn, Twitter, and Instagram.
Willingness to learn and utilize additional specialized software applications required.
Must be able to provide own transportation to meeting sites as necessary (mileage, parking, tolls reimbursed).
