The Development Manager, Special Events and Volunteers is responsible for managing, planning, and executing fundraising events for Foothill Family by leading the development team through the activation of each event, and managing the philanthropic volunteer guild, the Friends of Foothill Family. The position enhances visibility and increases revenue through creative and effective fundraising, cultivation, and membership events. The position ensures the success of each event through effective volunteer engagement and mobilization. The Development Manager of Special Events and Volunteers manages a portfolio of community partners who support the Agency's mission, securing $400,000 in gross revenue annually. The position interacts and communicates regularly with volunteers, donors, and colleagues across the organization and reports to the Director of Development.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Supports and promotes the mission of the Agency: Foothill Family empowers children and families to achieve success in relationships, school, and work through community-based services that advance growth and development.
Conceptualizes, plans, and executes Foothill Family fundraising, cultivation, and membership events.
Develops strategies for increasing the number of participants, sponsors, and revenue for each event.
Develops and tracks timelines/benchmarks to ensure events are on schedule and deadlines are met.
Manages invitation lists and mailings, RSVPs, seating plans, auctions, and check-in.
Drafts event correspondence to attendees, and briefings for internal leadership.
Develops and manages the fiscal year's budget pertaining to the three major fundraising events and Friends guild meetings/gatherings in collaboration with the Director of Development. Provides projections and analysis for each major event ensuring consistency with team budget and goals. Actively participates in finance budget meetings.
Works with the Director of Marketing and Communications to guide and assist in executing the marketing plan for each event. Develops content for printed materials, including invitation and program copy, email correspondence, donor recognition, and website and social media content as appropriate.
Acts as the first point of contact for the Agency's volunteers and encourages additional community involvement throughout the year, including employee volunteer opportunities with foundations and corporations.
Manages vendor relationships to ensure timely payments, track expenses, and cultivates vendors for discounts, preferential services, and in-kind donations.
Maintains event data in Raiser's Edge to manage donor records, including contact information and event lists/RSVPs.
Cultivates and maintains strong relationships with members of the Friends of Foothill Family and serves as the main point of contact for each volunteer committee. Builds strong relationships with each committee chair to ensure long-lasting support for the Agency.
Plans and executes volunteer committee meetings, including buy-in-parties, general and board meetings, and additional gatherings as needed.
Develops strategies for the recruitment and retention of volunteers.
Collaborates with Director of Marketing and Communications to maintain volunteer information on the website, as well as social media and email content
Displays sensitivity to the service population's cultural and socioeconomic characteristics.
Performs work in a safe manner at all times and ensures that other individuals do not put themselves or others at risk.
Follows all policies, procedures and legal mandates including HIPAA, client confidentiality, releases of information, protected health information (PHI) and client files.
Ensures performance and behaviors support the Agency's performance quality improvement (PQI) goals and objectives.
Reports to work on time and maintains reliable and regular attendance.
Performs other duties as assigned.
Bachelor’s degree (B.A.) from an accredited four-year college or university.
A minimum of four years of experience in event planning and management.
Experience with volunteer management preferred.
Impeccable attention to detail and the ability to direct multiple projects simultaneously.
Excellent oral and written communications skills.
Creative thinker with strong project management and organizational skills.
Ability to work in a fast-paced environment and under deadlines.
Ability to work some evenings and weekends
Ability to proactively anticipate and efficiently solve problems.
A polished and professional demeanor to interact graciously and effectively with constituents, stakeholders, and community partners.
Ability and willingness to work occasional evenings or weekends as required.
Valid CA Driver’s License and maintains insurability on the Agency’s auto liability policy (including a minimum of 2 years driving experience) and maintains the California state required auto insurance liability limits.
