Charlotte Latin School is seeking an Academic Affairs Assistant to begin in the 2020-2021 academic school year. The Academic Affairs Assistant provides high-level support to maximize the efficiency and effectiveness of the Office of the Assistant Head for K-12 Curriculum and Instruction, Equity, and Strategic Initiatives, which oversees several mission critical areas including the Office of Diversity, Equity, and Inclusion and the Latin Fellows Program. In this capacity, the Academic Affairs Assistant serves as the primary point of contact for the Assistant Head’s Office, demonstrates the ability to manage multiple, ever-shifting priorities, exhibits professionalism in written communications and interpersonal interactions, exercises sound judgment, and honors confidentiality.
Essential Duties and Responsibilities
In support of the Assistant Head for K-12 Curriculum, Equity, and Strategic Initiatives, the Academic Affairs Assistant will:
Perform various administrative tasks, including management of the office calendar and logistics of work-related travel, on-campus events, professional development experiences, and academic programming.
Apply problem solving skills and in-depth knowledge of organizational priorities to reasonably commit the Assistant Head’s time.
Organize activities and events on behalf of the Latin Fellows Program.
Coordinate and prepare reports and presentations for internal and external constituents.
Oversee preparation for meetings, including sharing agendas and minutes, and archiving pertinent documents.
Process invoices, receipts, and other documents related to budget management and office expenses.
Manage the workflow of documents for strategic planning and maintaining the School’s accreditation.
Provide project management support, such as monitoring critical dates and following up with appropriate persons, to ensure deadlines are met.
Compose various types of communication, both formal and informal, on behalf of the Assistant Head.
To enhance the efficacy of the Office of Diversity, Equity, and Inclusion, the Academic Affairs Assistant will:
Manage general office tasks, including scheduling appointments, organizing materials, and ordering supplies.
Coordinate and confirm travel arrangements, conference registrations, and professional development scheduling.
Craft communications to internal and external constituents.
Assist with the scheduling, chronicling, and reporting of multicultural programs and other diversity, equity, and inclusion events for print and web-based publications and on social media platforms.
Collaborate with facilities, academic divisions, and other departments to manage logistics and organize onsite needs to support diversity, equity, and inclusion events.
Education and Experience:
Proficiency in Google Suite and Microsoft Office tools
Excellent written and verbal communication skills
Capable of working independently and collaborating with others
Exceptional organizational skills
Strong interpersonal skills
