What you will be doing in this role:
Under limited supervision, perform specialized administrative work and coordinate functions for assigned service line. Also serves as a point of contact and link between employees, internal departments, and external parties. This includes vendors, donors, and customers. Duties include:
Manage specific fundraising service line, unit, area or other tribute fundraising campaigns, and departmental sponsorship requests
Draft proposals, agreements and departmental/project one sheets to finalize with leadership. Gather background and give history on major gift donors for fundraising strategies/cultivation
Coordinate VIP donor tours. Draft briefing memos that explain purpose of tour, prospect biographies and give the history of department leadership.
May coordinate VIP patient appointments and follow-up. Works closely with Patient Liaisons, physician's support staff and clinical operations teams.
May interact with Purchasing, Finance and vendors handling internal requisitions, (for example, inventory requests for office supplies or processing check requests to ensure payments to vendors are handled timely and effectively)
In coordination with the Project Manager, successfully execute and manage all aspects leading up to donor cultivation and stewardship events. Obtain content of donor impact reports, initiate detailed outlines for annual service line reports, and monitor and track operating expenses.
In coordination with Project Manager, join meetings related to donor stewardship strategies to maintain action plans and follow-up.

May develop queries to enhance review of ongoing reports needed by department chairs. May conduct ongoing audits of fund accounts for the departments we service.
Review all donor correspondence and mass mailing lists for donor publications for accuracy. Suggest edits to correspondence on donor acknowledgements produced by Gift Administration team
Serve as liaison with other internal departments that support major gift initiatives (i.e., work closely with Donor Relations to update donor digital wall and on distribution of major donor benefits; work with Foundation team to ensure newly awarded grants are captured and recoded in Raiser's Edge (new project accounts). Work with Research Administration, Finance and departmental research teams to ensure grant proposals and budgets receive proper internal approvals prior to submission
May interact with Support Group donors on a regular basis to answer any inquiries. Coordinate various leadership and committee meetings. Help execute all Support Group programs and events. Assist Director of Support Group Relations with budgets.
May serve as Kronos editor, providing informational services, reliable backup editing, double check and sign off for respective service line.
