Secretary of the University - Pennsylvania-Pittsburgh - (19008712)
Reporting to the Secretary of the Board of Trustees, the Deputy Secretary acts as a strategic advisor to the Secretary regarding matters of significance as they pertain to facilitating the work and operations of the University's Board of Trustees.
The Deputy Secretary will be charged with ensuring compliance of all board actions and documents with legal requirements, conferring with the Office of University Counsel, as needed. In conjunction with the Secretary, the incumbent will be responsible for overseeing the development, integration, and maintenance of University policies and procedures as they pertain to University record-keeping and documentation with an emphasis on ensuring confidentiality and compliance and developing appropriate measures for access to documents and records. The Deputy Secretary will also oversee the administration and execution of all degree and award processes.
On a daily basis, the Deputy Secretary will oversee the day-to-day operations of the Office of the Secretary to ensure efficiency and that the needs of the Board of Trustees are met. The incumbent will monitor all internal and external relations and communications, and oversee the coordination of all Board of Trustees committee meetings, presentations, and events.
The Deputy Secretary must conduct all responsibilities with the highest degree of professionalism, formality, and sensitivity. The incumbent must demonstrate the ability to manage the challenges of supporting senior-level personnel and exhibit the ability to exercise independent judgment.
Bachelor's degree and 10+ years experience relevant administrative management experience is required. Demonstrated experience with University policies and procedures is strongly preferred. Experience with federal and state legal requirements and regulations is preferred. Must demonstrate exceptional and professional communication, organizational, and project management skills as well as the ability to operate independently and efficiently with a high degree of accuracy and confidentiality.
