Job Summary/Basic Function:
This position plays a key role with respect to systems, data management, and project management for the Office of Admissions. The primary role is to provide technology expertise and strategic direction in the development, management and usage of systems as it pertains to marketing & communications, travel-based recruitment efforts, yield, and other major projects within the division. This position is one of three that provides reports and data used by the Admissions Office in order to recruit, admit and enroll students. The Admissions Systems Specialist works closely with the Systems Manager in guiding the systems needs of the department and serves as a key partner in training the Admissions team for further strategic use of the office CRM, Technolutions Slate.
Communication Management - Through close collaboration with the Director of Communications, the systems specialist will provide vision, strategy, and data-informed direction on all enrollment communications projects. In this essential function the systems specialist will liaise with the Office of Marketing & Communications, divisional leadership, and external vendors to ensure an effective and compelling multi-channel communication strategy is in place and executed to attract and nurture prospective students through the admissions cycle. Additionally, the Admissions System specialist will coordinate and implement comprehensive and integrated strategies for all print and email communication. Create and maintain a comprehensive Communication sequence (mail, print, email, social) for prospective students and their families, as well as secondary schools and other influencers. - Provide ongoing maintenance and assessment for all short term and long-term strategies, track trends and benchmark processes against peer and aspirant Institutions. Track results, and when necessary provide ongoing analytic reports in order to determine effectiveness of strategies across all communication mediums. - Keep abreast of available technology both in-market and specifically in the CRM area. Find ways to use new technology and functionality to enhance or transform the communication strategy and implement that strategy. - Handle generation and sending of publication mailing lists to vendors on and off campus. - Respond to requests for information and use CRM to manage prospect communications to various audience groups. - The Admissions Systems Specialist manages and maintain the Communications Flow Committee in addition to the creation and collection of agenda items. The Admissions Co-Coordinator of Yield Communications and is responsible for the creation/maintenance of the Yield Calendar.
Recruitment Travel - Supervise coordination of Fall and Spring travel for team of 16 recruiters to include: - Primary systems partner working with Assistant Vice President for Enrollment and Director of Admissions Recruitment in big picture planning of recruitment travel calendar. - Meeting with regional counselors to understand specific territory goals - Developing needed queries or reports to support travel planning - Coordinating collection of travel calendars and travel details from recruiters - Review and development/building of all travel-related communications - Providing direction to Admissions Systems Assistant in data entry and event creation for travel-related events and trips. - Corresponding with high school counselors regarding visit reservations and confirmations - Partnering with other members of admissions team in management of additional travel-related logistics, including college fairs and posters or print material to schools.
Visit Systems Support - Works closely with Visit Programs & Services Manager to ensure all systems needs for visit and events are covered. - Provide maintenance and quality checks to events built in systems to ensure proper use of Slate tool. Guide and educate staff on appropriate use of tool as needed. - Develop event-specific communications in partnership with Assistant Vice President for Enrollment and Director of Admissions Programs & Services.
Performing daily and weekly activities related to the regular maintenance and administration of Technolutions Slate for the Office of Admissions. - Conducting daily and weekly verification to ensure accuracy and integrity of student data information, ensuring overall accountability for tracing, assessment and reporting of all admissions data. - Overseeing and troubleshooting the application process including monitoring the completeness of student applications, monitoring the verification of application materials, solving technical issues and releasing decisions for applicants. - Manage the efficiency and integrity of the admissions database to achieve timely and accurate data entry and updating. - Maintain automated process in Slate and perform system health checks to ensure all functions are working as required. - Developing creative solutions and incorporate new processes to improve workflow, production, security and efficiency.
- Create queries, reports and data extracts for admissions processes and analytical purposes. Fulfill ad-hoc data request for admissions queries. - Serve as an in-house resource for retrieving admission data, including generating queries and reports, monitoring communications processes and CRM functionality. - Partner with Systems Manager to develop, manage and deploy Slate workflows (rules, decisions, dashboards, campaigns and messages) to ensure consistent processes. -Execute and analyze recruiting and admissions reports, and dashboards to uncover trends in recruitment metrics including conversion data, new registrations and other data points. - Create, edit, review and approve applicant line inserts throughout application cycle for accuracy and to ensure line inserts meet Dickinson's standards and blend with accept letters.
Provide initial in-depth training and on-going training regarding CRM use to Admissions staff and student workers. Includes both lunch & learn group training as well as personal individualized training based on staff member's responsibilities. Serve as support for all concerns related to Slate raised by staff, collecting necessary details and triaging the requests for the team including first level diagnostics.
