The Night Ministry ($10M budget) is seeking a Chief of Staff to support its President & CEO and the Executive Leadership Team. The right person will assist the CEO in providing leadership and oversight for the organization’s day-to-day functions and staff. This Chief of Staff will be part advisor, part gatekeeper, part problem solver, and part all-round tactical partner to develop and implement strategy to meet The Night Ministry’s goals and advance its mission. The role will have both internal and external-facing responsibilities, ranging from human capital development to project management.
Primary responsibilities include, but are not limited to:
Assist the CEO in facilitating effective decision-making, through the provision of timely information and feedback
Coordinate the execution of strategic initiatives and special projects: Plan, estimate, and control project costs, including resource planning, to ensure projects are delivered on-time and within budget
Support the functioning of the Executive Leadership Team: Assist with meeting scheduling and committee meetings and other support as needed
Coordinate activities, set agendas, and summarize deliverables for Executive Leadership Team, Management Team, Quarterly All Staff Meetings, and other meetings hosted by the CEO
Assess inquiries directed to the CEO, determine the proper course of action and delegate to the appropriate individual to manage; ensure proper follow-up
Ensure all staff issues are addressed properly, efficiently, and judiciously, and keep track of progress until resolved
Provide administrative support and coordination to the members of the Executive Leadership Team, as needed and time allows
Compile and structure organizational information needed for CEO’s meetings with a variety of constituents
Work closely with the Executive Assistant to the CEO to ensure the appropriate management of the CEO’s calendar so that all priorities are met
Support the CEO’s leadership of the management team, including coordination of agendas, meeting logistics, and ensuring adequate and timely follow-up on action items
Board of Directors: Manage logistics with the Board of Directors, including meeting dates and agendas, reports, and other meeting preparation, production of minutes, communicating with the Board on all the above. Coordinate CEO follow-up to Board matters when necessary
Formulate high-level organizational strategy and collaborate with other senior managers on projects and deliverables essential to organizational impact
Manage and enhance professional relationships with a wide range of vendors, funders, partners, and other external parties
Work to solve problems, mediate disputes, and deal with issues before they might require CEO intervention
Act as an adviser to the CEO and Executive Leadership Team
Participate in regular meetings with the Director of HR and Chief Operating Officer to discuss potential staffing issues
