Job Description Summary Reporting to the Associate Dean of Academic Services, the Assistant Director for Office Operations is responsible for all operations and systems in Academic Services. The Assistant Director coordinates, documents and manages the timeline and communication for all processes run through Academic Services, including registration, Graduate and Undergraduate Academic Performance, gathering retention data and monitoring progress reporting systems . Helps deploy and train other staff on academically related computer applications. Supervises the office support generalist for Undergraduate Academic Services.
Manages Academic Services operations including planning registration timeline, external collaboration, technology arrangements, triaging questions or concerns related to registration from students, parents, staff and faculty.
Coordinates Academic Performance Committee process for both Undergraduate and Graduate students. The Committee process is held five times per year and includes managing correspondence and tracking student outcomes
Tracks information, develops, and runs reports in Workday to support administrative decision-making.
Works with other campus offices including Admissions, Registrar, Student Financial Services and Student Affairs, to track data related to student success and retention.
Supervises Office Support Generalist for Undergraduate Academic Services and maintains overall responsibility for front office operations.
Manages the Bentley catalogue publication process including utilizing CourseLeaf catalogue and curriculum software. Manages communication with faculty on the catalogue and provides support and training for faculty and staff members using CourseLeaf.
Serves as a key user for Workday, CourseLeaf, College Scheduler, ImageNow, Degree Works and other academic applications utilized by both Undergraduate and Graduate Academic Services. Assists with training and on-going support of technology implementations in Academic Services
Assists Academic Services Directors with writing and posting student worker positions, monitoring student payroll and troubleshooting with the Offices of Financial Assistance and Student Financial Assistance.
Answers and/or triages complex inquiries referred from front desk or student staff prior to referring to academic advisors or Academic Services directors.
Manages budget process for Graduate and Undergraduate Academic Services operations.
Assists with Undergraduate Academic Services front desk coverage.
Works with Facilities on major concerns or issues.
Represents Academic Services on university Emergency Management Team.
A bachelor's degree and at least 5 - 7 years of office operations or project management experience.
Strong analytical and technology skills are required including advanced Excel competency.
Candidates must possess exceptional organization skills, as well strong verbal and written communications skills.
Ability to manage difficult customer service situations and tight deadlines.
Preferred experience with Workday and other academic technology.
Familiarity with Access.
Previous work in a college or university setting with an interest in working with students, faculty and staff.
