A private family, based in Colorado, is seeking an experienced Estate Farm Manager with strong project management experience to provide general management and oversight of the family’s primary residence, other properties, and a small staff. The Estate Farm Manager will be responsible for the management of all house and farm operations administration, staffing, service, financial oversight, policy implementation, and security. This role requires superb organizational and interpersonal skills to manage relationships across a wide range of vendors, staff, office personnel, and family members. Navigating responsibilities with a high sense of professionalism, intelligence, maturity, sensitivity, and discretion is paramount.
The Estate Farm Manager will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion and tight deadlines.
What you will do:
The Estate Farm Manager, in tandem with support staff, will:
Act as project manager for the Principals on a variety of initiatives with key responsibilities including management and maintenance on the primary residence, farm, and other properties
Provide oversight to the operations of the property(s) including gardening, landscaping, farm animal and equipment maintenance
Farm management of plants, trees, crops, animals, and all related equipment as well as budgets, negotiating contracts, managing vendors, production and harvest schedule, etc.
Coordinate the work of the Landscape Manager and Chef to ensure production is in line with the expectation of the family
Provide functional oversight of staff-related HR activities by approving time-off requests, goal setting, performance reviews, hiring and terminations, onboarding, payroll/timesheets, tracking vacation & sick time, payroll, etc., and any other staff-related activities
Collaborate closely with team members, such as the Executive Assistant, to successfully execute cross-functional projects
Carry out a mix of duties to support the optimal operations of the family office that includes helping the Principals oversee the daily operations of shared support functions such as talent management/HR, financial reporting, legal, IT Property Management, etc.
Act as a point of contact and work in close collaboration with a partner(s) for support functions that are outsourced to a larger family office
Assess and improve current processes and coordinate organizational procedures to ensure the family office services are provided in an efficient and high-quality manner
Manage the creation, maintenance and updates of barn manuals, policies, and maintenance schedules; for household manuals, policies and maintenance schedules, the Executive Assistant will own the management of these with oversight from the Property Manager
Manage the sourcing of vendors, vendor relationships and the scheduling of services for the barn; for the household, oversee the sourcing of vendors, vendor relationships and the scheduling of services which is performed by the Executive Assistant
In collaboration with the Executive Assistant, manage asset inventory and insurance maintenance from art to aircraft
Conduct system updates, troubleshooting, and installations of security and technology systems
Develop a system of reporting for the Home and Farm, run relevant reports and maintain records
Maintain visual upkeep of residence, contents, and vehicles
Lead all major and general repairs and maintenance for home, vehicles, farm, and equipment
Manage household projects to include interior & exterior renovations and landscaping
Responsible for ensuring security protocols are followed
Partner with Principals on new residence purchasing, building, and furnishing; work with architects, interior designers, and landscape designers
Oversee other properties on behalf of the Principals
Travel with or in advance of the family as needed to check on other properties – estimated at 10%
The ideal candidate must be down-to-earth, pleasant, efficient, organized, service-oriented, and a self-starter who enjoys working in a team environment that is mission-driven, results-driven, and community-oriented. They must exercise critical thinking and good judgment in a variety of situations, learn fast, and apply excellent project management skills. They must be high-energy and willing to “do” in addition to delegate.
The chosen candidate will have a strong track record and understanding of managing the affairs for a private family. They will possess the ability to intelligently (re)assess policies and structures to meet the changing needs of the family and environment as required.
10+ years of experience in a similar role in managing complex operations for private individuals or families
Ability to manage deadlines set accountability and high expectations for team members and create a high-functioning, collaborative work environment
Ability to successfully manage and oversee properties on behalf of the principals while working hands-on, as needed
Technically savvy with the ability to hands-on troubleshoot systems
Project management with the ability to read blueprints/floor plans
Microsoft Office Suite including strong Excel skills with the ability to efficiently create as-needed reports
Driver’s license, passport, and legal authorization to work in the US
Ability to pass an extensive background check, employment verification, and other pre-hire paperwork
Willing to travel 10%
Bachelor’s degree or equivalent experience
Construction management experience
Farm or Ranch Management experience
General maintenance skills
