Provide administrative and analytical support for appraisers in a fast-paced environment. Organization, prioritization skills and good customer service abilities Working under direct supervision, provides routine day-to-day business operations support to multiple lines of business in an office. Responsible for processing AP transactions such as vendor invoices and expense reports, setting up Listings and Project Budgets, Billing and Accounts Receivables, Contract Administration, Licensing, Revenue Forecasting and Transaction Processing.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include, but not limited to:
Prepare documents to include managing the correspondence process from start to finish, including but not limited to letters, memos, requests for proposals, letters of intent, contracts/RFP for appraisal work.
Facilitating with some processing of new assignments within Valuation, ROW and tax advisory groups proprietary database (VIEW) and assign work out to our professionals accordingly.
Coordinate with offices outside the region on new assignments, job set up as well as internal billings (commission processing in VIEW) making sure we are audit compliant.
Reconciliations of commissions and booking of commissions (internal billing) in View..
Process client invoice requests and may assist with delivery of reports to clients.
Process or create certificate of insurance for clients when needed.
Assist the appraisal group with special projects for event planning, conferences when needed.
Assist with receivables and payables as needed.
Schedule meetings, conference rooms, and arrange meeting refreshments as needed.
Travel arrangements including air, hotel, and car as needed.
Prepare expense reports as needed.
Answer phone and give information to caller or route call to appropriate person; place outgoing calls as requested.
File electronic correspondences, proof of deliveries, contracts and other documents into electronic library.
Provide back-up support to other members as needed.

EDUCATION and EXPERIENCE
High school diploma or general education degree (GED) with a minimum of two years of related experience and/or training.
CERTIFICATES and/or LICENSES
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

OTHER SKILLS and ABILITIES
Intermediate skills with Microsoft Office Suite products such as Word, Excel, Outlook, etc.
