ERSO functions as a central hub, providing administrative support to the College of Environmental Design; and administrative and research support to the School of Information and the College of Engineering and its affiliated research centers.
ERSO delivers effective and efficient services, allowing faculty to focus on developing UC Berkeley's academic and research enterprise rather than managing administration. We maintain a customer-oriented operation with appropriate levels of faculty and staff oversight to support a culture of expert service and continuous improvement.
This position serves as the shipping and receiving supervisor for ERSO and the equipment custodian for EECS and research groups and faculty in the College of Engineering. The primary constituencies are all COE employees; however, the incumbent must also coordinate processes on campus, as necessary, with the Central Offices of Procurement Services and Property Management. This position focuses on management of shipping, receiving, delivery and distribution of goods and leads the equipment inventory management and tracking. Requires full knowledge of own area of functional responsibility.
50% Equipment Custodian/Inventory Manager:
All persons entrusted with the management of equipment owned by, or on loan to, the university have a special stewardship obligation for safeguarding that property.
The Equipment Custodian is responsible for the physical identification and tracking of departmental equipment.
Administer inventory control for federal, state and industrial equipment acquisitions.
Maintain computer based inventory control records to provide accurate and timely reports as requested. Upon receipt of equipment, update the Berkeley Equipment Tracking System (BETS) and in Winn Inventory Tracking System (WITS) for any changes in status. Periodically synchronize WITS and BETS to ensure the enterprise system is up to date.
Partner with faculty and staff, to ensure all equipment has UC Property tags and RFID tags affixed.
Create, approve, or deny Equipment Inventory Modification Requests (EIMRs) for disposal, interdepartmental/intercampus transfers, fabrications, equipment trade-ins or returns, loans to/from employees, agencies or other institutions (LLNL, LBNL) or gifts.
Coordinate pick up of unwanted equipment with Central Distribution, Equipment Management, and Cal Overstock to properly sell, recycle, or disposals of asset.
Conduct RFID inventory scans every 3 to 6 months to keep up on asset movement and enable prompt asset communion to end user.
Responsible for accurate biennial physical inventory and equipment certification on the BET920.
Serve as primary contact person for equipment audits, scheduled by Equipment Management.
Serve as the liaison to the UCB Equipment Management Department, and maintain timely and accurate knowledge of federal, state and other agencies guidelines and policies regarding equipment.
25% Material and Equipment Shipping & Receiving:
Manage the overall ERSO shipping, receiving and inventory functions, including receiving in online systems (i.e. BearBuy, Intranet).
Inspect all packages and freight prior to accepting and signing.
Oversee package prioritization (frozen, refrigerated, hazardous material, Next Day, 2nd Day, 3 Day, Ground and personal packages to meet our delivery agreements; ensuring integrity of materials.
Monitor accuracy of BearBuy receipts; ensure it aligns with packing slips to avoid Over Received status on orders in BearBuy.
Ensure packages are entered accurately into WITS with packing slip images.
Communicate to End User, Purchasing Agent, and vendor when shipments are incomplete or damaged.
Accountable to deliver ERSO purchased supplies and equipment within delivery 24-hour service level agreement to various campus buildings.
Ensure digital signatures (or an image of package placement behind locked doors accompanied by our Receiving staff's signature) are captured on all deliveries.
Email end users on failed deliveries, cylinder orders, and all will call orders.
Administer ERSO's FedEx and UPS shipping accounts.
Ensure good are returned in the least expensive manner in keeping with the objective of promptness, safety and reliability.
Ensure RMA numbers are clearly visible on all returned material.
Coordinate shipments, both inbound and outbound, as needed.
Compressed Gas Cylinders (primarily for MICRO Lab)
Ensure flammable and non-flammable tanks are stored separately, tagged correctly, received and end users are notified their order is ready for pick up via email. Manage tank storage areas to ensure empty tanks are picked up regularly; all tanks are chained, capped & properly tagged. Have any untagged tanks removed by vendor.
Meet with direct reports individually on a regular basis to set priorities, discuss issues, develop and implement new procedures, and systems as necessary. Advise, coach and assist staff in carrying out their responsibilities.
Identify and lead process change efforts that improves efficiency, responds to policy changes, or mitigates risk.
Ensure team is following all safety procedures and policies from handling chemicals to using proper lifting techniques manually up to 75 pounds.
Foster and promote an inclusive environment.
Ensure staff are safely using forklifts and following compressed gas protocols; ensure they are properly certified every two years in both and that all lifting equipment is operated in a safe and efficient manner. Resolve all issues escalated by staff in a timely and considerate manner.
Make appropriate assignments taking into account workload.
Manage staff interactions and coordinate services. Manage conflicts. Hold regular staff meetings. Keep the ERSO Purchasing Manager appraised of any issues, problems, or potential problems that could affect staff's ability to fulfill their responsibilities.
Share information with staff in a timely manner, and keep staff appraised of organizational changes. Support employee training and development.
Manage staff performance in accordance with union, campus, and ERSO established performance management system. Review and establish appropriate and attainable performance metrics and standards.
Facilitate cooperation, teamwork, and foster morale of staff. Establish and maintain an open environment for communication.
Hire and train employees and ensure appropriate controls and security of operations.
Ensure S&R area and equipment is well maintained for efficiency
Serve as backup to Team when there are planned and unplanned absences to ensure operations are maintained.

The salary range designated for this position: $50,400 - $72,800; however, starting salary will be commensurate with experience.
