The University of Southern California (USC) has established a program to optimize its current use of the Workday Human Capital Management and Payroll system, implemented in 2014.Â The University will soon embark on an initiative to modernize its business processes through implementation of Workday Financials. The combined Workday Programs are critical to USCâs overall goals to improve administrative efficiency.
We are currently seeking an Organizational Change Management Lead Analyst to join our Workday Implementation and Optimization Program within the Information Technology Services (ITS) department here at the University of Southern California. The Organization Change Management Lead Analyst will shape the direction and delivery of OCM activities for the Workday Human Capital Management (HCM) Optimization program, devising the overall change process and leading 3 department success teams working with schools and administrative units throughout the university.Â
The OCM Lead Analyst will be a key member of the program leadership team, integrating program and change management to achieve the outcomes of this initiative.Â The Lead Analyst will refine, implement and evaluate the success of the change management strategies to achieve the goals of the implementation and optimization efforts.Â The Lead Analyst will work closely with the emerging enterprise OCM group in ITS to assure integrated and consistent approaches for all IT implementation programs.
The Workday Programs Organization Change Management approach focuses on engaging stakeholders and promoting full adoption by operating departments as well as central administrative units.Â The goal for OCM extends beyond achieving proficiency with specific functionality to inspiring and supporting changes in business processes and practices to allow USC to take optimal advantage of the Workday Human Capital Management and Financial Systems.

This is a fixed-term position with an anticipated end date of July 1st, 2021. Please note that these are full-time roles eligible for benefits, including medical, dental, and vision plans.
What Youâll Do:
Lead the development and evaluation of change management processes for larger, University-wide projects by assessing change impacts and developing stakeholder- and function-specific action plans to aid the current-to-future state transition. Actively coach, on a large scale, executives and team leaders who are change sponsors in promoting change adoption within their departments.
Partner with project or program manager to integrate project and change management plans and align strategy, objectives and timelines.Â Maintain close communication with project manager and project team to revise plans as needed in response to new information or technical developments.
Create change management strategies using structured methodology, experience and situational details of the group(s) impacted to assist in completion of change initiatives regarding people, process and technology. Coaches team leaders and sponsors on change impacts both expected and not.
Define, clarify and drive the teamâs common understanding of business processes for successful change adoptions. Identifies risks, keeps them visible at all times, strategizes to prevent them from negatively impacting projects and tracks them to ensure they are addressed by the team.
Support the design, delivery and management of communications.Â Work with other project and OCM leaders to coordinate communication and engagement with shared stakeholders.Â Propose instructional strategies and/or recommends alternatives to improve the effectiveness and efficiency for communication, training and resistance management. Develop independently, or as part of a team, overall objectives and actionable, targeted implementation strategies.
Form and organize performance metrics to assess and evaluate change adoption and utilization of changed functions and/or systems. Measure the levels of participation and proficiency of users and stakeholders with new processes. Track and report all change management deliverables at appropriate intervals, implementing corrective actions and celebrating successes, as appropriate.
Apply evaluation methodologies to regularly assess effectiveness and sustainability of change management strategies and activities. Identify anticipated points of resistance and develops specific plans to mitigate or address concerns by implementing training programs, systems and requirements.
Create and manage detailed plans, working closely across departments to promote OCM practices throughout the organization.Â Seek to integrate change management activities (project deliverables, meetings, calls and training) among projects to limit conflicts and change fatigue among stakeholders. Â Mentor fellow team members in organizational change management, presentation and communication approaches, and coach non-change management staff in adopting processes and strategies for themselves.
Lead the development and implementation of OCM processes for the Workday HCM Optimization Program.Â Focus on engaging multiple stakeholders, promoting transformation of business processes, and enabling successful change on individual and departmental levels.
In conjunction with ITS OCM leadership, create effective change management strategies to help departments and central units realize greater value from improved business practices and more complete adoption of Workday functionality.
Organize and lead the work of 3 department success teams, assuring consistent yet flexible approaches to meet the distinct needs of individual business units.Â Support team members with training, information, and access to leadership, as needed.Â Work with team members and program leadership to integrate stakeholder engagement plans and limit conflicts. Establish and promote processes to integrate stakeholder feedback into program operations.
Develop manager coaching plans for departments and central units.Â Implement plans directly or through department success teams, as situations warrant.
Recruit and convene change partners network; align activities and members with the work of the department success teams.

The Must Haves:
Bachelorâs degree or combined education/experience as substitute for minimum education
4 years of professional directly related experience in Information Technology; including at least 2 years of experience in Change Management, Organization Development, and/or Project Management or a related field
Experience and knowledge of change management principles, methodologies, and tools
Demonstrated knowledge and understanding of how people go through change processes
Experience with business service management tools (e.g. Service Now)
Experience with Project Management software (e.g., SmartSheet, Microsoft Project)
Experience with collaboration software (e.g., SharePoint)
Experience with presentation software programs (e.g., Microsoft Visio, Microsoft PowerPoint)
Strong, professional written and verbal communication skills
Demonstrated experience leading teams and working with multiple constituencies in a fast-paced project environment
Ability to multitask, interact with multiple stakeholders, and navigate changing priorities
The Nice to Haves:
7 years of related professional experience in Information Technology;, including 2 years of experience in an Organization Change Management rolepractice
Certification in Organization Change Management principles and methods; preferably by Prosci
Advanced knowledge of one or more of the following:Â Human Resources, Information Technology operations, systems development frameworks (e.g., SDLC, Agile), business process improvement, Instructional Design and Organization Development, design and/or Communication
