The Human Resources Academic Affairs Manager provides coordination and independent oversight for a broad range of support for the day-to day human resources inquiries and academic affairs for a select portfolio of scientific labs within the Mortimer B. Zuckerman Mind Brain Behavior Institute (Zuckerman Institute). The candidate, supporting Academic Affairs within this portfolio, will support labs by strategizing appointment needs, reappointment timelines, visa needs and processing academic appointments for all Officers of Research joining the Zuckerman Institute.
Reporting to the Sr. Human Resources Business Partner, the ideal candidate is proactive and serves as an excellent relationship builder with Principle Investigators and Lab Managers for the Zuckerman Institute. The HR Manager must be innovative and agile in approach and assist the team to provide the highest level of customer support for the faculty and staff within the Zuckerman Institute. Central to this role is the ability to smoothly manage internal operations while providing high level customer service to external stakeholders.
The role serves as a vital member to the HR team providing overarching support for a large population of researchers and employees within the Zuckerman Institute.
Responsibilities for the ideal candidate's select portfolio of scientific labs include, but are not limited to, the following:
Manages day-to day academic affairs including appointments, the organizing, identifying timelines, and processing nominations and template based hiring. Track and log start and end dates.
Manages new and reappointments for Officers of Research including, completion of PAFs, extensions of visas and Postdoctoral extension requests. Ensures all information is accurate and processed through reconciliation in a timely manner.
Proactively initiates visa applications for all Officers of Research joining or within the Zuckerman Institute. Ensure visas are accurately processed, monitors and follows up on all necessary processes.
Represents the Human Resources Department meeting with Principal Investigators and Officers of Research regarding new hires, reappointments and visa needs. Provides pertinent information to facilitate the collection of necessary documents for new hires, reappointments and visas.
Works with Central Finance for the processing of fellowship stipends, benefits payments and compensation changes.
Manages the dual appointment of postdoctoral scientist/fellow when a fellowship is present, creates multiple nominations and ensures accurate processing with Associate Provost's Office.
Proactively manages the processing of Visitors for various programs maintained by the ZI HR Team for Officers of Research visiting or joining the Zuckerman Institute for short terms consistent at all times with University policies.
Manages and maintains tracking logs (electronic dashboard) of all academic appointments to ensure including visas, appointments and reappointments with specialized focus on end dates.
Tracks and ensures compliance with respect to I-9 processing, annual trainings, visa status and other regulatory matters.
Supports medical surveillance and visual compliance as needed.
Will be proactive and consistent in providing our clients with accurate and updated information at all times to ensure that HR inquires and requests are met with the highest standards of customer service.

Bachelor's degree, including a minimum of three (3) years of related experience is required.
Advanced degree preferred. Prior experience in academic environment or Medical Center highly desired. Must be able to demonstrate excellent interpersonal, written and oral communication skills, including active listening skills. Strong editorial and grammatical expertise essential. Analytical and quantitative skills required, along with demonstrated project management experience.
Must be capable of working independently, with strong organizational skills, as well as collaboratively, and take a proactive approach and anticipate needs. Excellent computer skills in MS Office Suite, particularly Word and Excel. The successful candidate must be proactive and engaging, flexible in nature, possess sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization. Must have a passion for excellent customer service and commitment to exceptional quality.
