The Harvard Medical School (HMS) Office of Research Administration (ORA) provides pre-and post-award management by assisting Principal Investigators and Faculty with the proposal submission, award administration, and reporting. ORA offers a range of expertise and manages a diverse group of portfolios in support and advancement of HMS's mission. Reporting to the Strategic Projects Manager (SPM), the Administrative Coordinator (AC) provides high-level administrative support to the Office of Research Administration as a whole as well as direct calendaring support to the Chief Research.
Administration Officer. Responsibilities include the management of calendars, arranging and scheduling travel, processing expenses, preparing materials for meetings, coordinating and executing numerous Listserv distributions, assisting with select events, and managing schedules for meetings and activities. The AC serves as the primary point of contact for internal and external constituents on all matters pertaining to ORA leadership. The Admin Coordinator also organizes and coordinates select special projects.
The AC is expected to apply creativity and initiative in recommending solutions to administrative challenges in a fast-paced, deadline-driven environment. The incumbent will have a demonstrated capacity to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities while striving for precision and accuracy in all endeavors. The AC will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities. The nature of the work in ORA is sensitive and/or confidential and complex, necessitating exposure to sensitive information and contacts. The incumbent will possess considerable discretion, judgment, tact, and diplomacy. The AC will also perform other related duties as assigned.

Five or more years of related experience. Education beyond high school may count toward experience.
Bachelor's degree or equivalent experience strongly preferred
Robust office administration and customer service experience preferred
Professional experience in an office setting, preferably in a corporate environment preferred Proven experience providing complex administrative support in a high-profile environment with tact and diplomacy preferred.
Professional experience with Microsoft Outlook, Word, Excel, and PowerPoint, and solid working knowledge of various office processes and related computer software and electronic communications tools preferred
Strong communication and interpersonal skills preferred
Experience working in a fast-paced environment with multiple priorities preferred
