The University of Texas Permian Basin is seeking applicants for an Administrative Assistant to the Dean, College of Business (Administrative Assistant II). The individual selected will proved advanced administrative support services to relieve the Dean of a number of organizational duties and to coordinate the activities of the Office of the Dean. The incumbent will be delegated decision-making authority and independence in prioritizing tasks, interpreting policy, and with budget expenditures. The successful candidate will have a significant level of proficiency in office tools, processes, protocols, and procedures.
Starting Salary range: $40,539 – $52,124.
General Responsibilities: • Manage the schedule and activities of the Dean of the College; provide support for alumni and industry engagement; facilitate operational effectiveness of the College through project management and timely, accurate communication • Perform day-to-day clerical and administrative functions in support of the office/department • Handle a variety of duties involving calculating, record-keeping, database management, report preparation, and receptionist duties • Screen office calls, visitors, and mail; provide information and assistance including responding to sensitive requests for information and assistance; research information and office policies; assist the students, faculty, staff, vendors or visitors; sort and distribute mail • Answer special request and solve problems, routing to senior staff members, as appropriate • Confer regularly with immediate supervisor to coordinate activities, exchange information, and resolve problems; ensure that all required supplies are available, as needed, and that the facility and equipment are in proper working order • Organize and manage events that engage students, faculty, alumni, and industry and community leaders • Manage promotional efforts of the college • Supervise student workers and coordinate Graduate Assistants in the college • Other duties, as assigned
WORK SCHEDULE: Generally, the hours for this non-exempt classified position is Monday through Thursday, 7:30 – 5:30 pm; Friday 8am – 12 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening and weekends to meet the needs of the department.
