Essential Job Duties:
The REPORTER Project Coordinator is an essential pivotal role in the development and implementation of a primary noncredit registration system. The person in this role is responsible for building and sustaining customer relationships through effectively promoting and implementing processes, procedures, and programs that deliver high level user value to those customers responsible for managing non credit registration at the university. By demonstrating in depth understanding of customers' key business drivers, applies domain level thinking in order to collaborate, analyze and advise regarding best practices and process innovations. This position provides high level contributions to business processes aligning to data reporting requirements and a data governance infrastructure.
Primary duties of the REPORTER Project Coordinator include, but are not limited to the following:
Serving as the primary point of contact for REPORTER Business Unit Liaisons and provides training in relevant policies/procedures and the use of the system. Develops Service Level Agreements (SLAs) and monitors for fulfillment.
Serving as a non-voting member of the REPORTER Steering Committee, setting meeting dates, preparing materials, providing meeting notes, and providing project action items.
Leading aspects of Business Analysis/Project for McKimmon Center Onboarding (as well as other business units). Organizes and Coordinates analysis and on-boarding.
Fit Gap Analysis (financials/transactions) – develop clear scope of work and goals to include timeline.
Providing standardization review and outline development requirements if needed.
Establishing decision making process for outreach/transaction issues.
Project Coordinating: Ensuring we have the right people at each meeting, schedule meetings, follow up on outstanding items and pending.
Managing changes and issues.
McKimmon clients and business analysts to drive the project to a successful conclusion.
Providing input to the prioritization on onboarding activities based on various parameters (business calendar, effort level, required preparatory steps, gap analysis, etc.)
Serving as liaison to the development team for operational issues. Escalating issues, gathers supporting data from customers as needed, provides bug testing, etc.) and providing User Acceptance Testing (UAT)
Developing and conducting REPORTER training and courses.
Cross training with REPORTER Required/Compliance Training and Youth Activities coordinators to ensure productivity and enhance customer support.
Other duties as assigned.
Master's degree; or Bachelor's degree with zero – two years' of relevant experience; or an equivalent combination of education, training and relevant experience.
- For management‐level roles, also include with the above requirements 1‐2 years of supervisory experience.
Ability to manage small technology projects and subsets of larger technology projects.
Ensures quality execution of highly complex activities, either independently or with a project team.
Uses project management tools and practices to ensure on time delivery of multiple project activities.
Reports and tracks customer's success through a continuous Business Review Process to articulate value to the customer.
Be the primary point of contact for REPORTER Business Unit Liaisons and provide training in relevant policies/procedures and the use of the system Planning and Organizing.
Ability to create a project plan or task list that is realistic and formal, including prioritization
Participates in the process by reporting status and recommending revised work assignments.
Collaborates to determine opportunities to improve data integrity, tracking and reporting functions.
Provides customer feedback to Project Manager(s)/Directors to ensure timely, accurate decision making.
Ability to document customer application/solution landscape to proactively position opportunities and leverage the technology solution.
Develops Service Level Agreements (SLAs) and monitors for fulfillment
Serve as co-chair of the application Advisory Team, setting meeting dates, preparing materials, providing meeting notes, and serving as a non-voting member of the Steering Committee. Technical Knowledge.
Exhibit understanding of Agile and Waterfall software development methods and implementation strategies.
Understands technology constraints and challenges of an enterprise solution in the context of the customer's IT environment, during adoption, rollout, and post-Production support.
Has an understanding of Data Governance models (e.g. Maturity Model, Maturity and Adoption Model) for maintaining operations, reporting tool maintenance, and ensuring critical data element quality.
Contributes to the development of the model for Data Stewardship – Subject Area, Function, Business Process.
Keeps Data Stewards apprised of new functionality requests from campus and provides recommendations for policy and procedure modifications that increase data confidentiality and integrity, process efficiency and end user satisfaction
Provide service as the Subject Matter Expert (SME) for the system, including Tier 2 support activities.
Knowledge of system integration principles, including analysis (SWOT), patterns, topologies, and technologies.
Provide input to the Product Roadmap and its prioritization based on input from Project Sponsor, Management, and Clients. Analysis and Decision Making.
Ability to prepare functional requirements for systems design and reporting to meet end user needs.
Ensures the information needs for decision making are met through best practices for collecting, sorting and providing strategic data and reporting.
Ability to translate complex technical issues for a functional audience, and vice versa.
Provide input to the prioritization on onboarding activities based on various parameters (business calendar, effort level, required preparatory steps, gap analysis, etc.)
Consult with project sponsor to provide status updates on project activities.
Build and maintain customer buy-in and support of project being managed.
Proactively evaluates and identifies customer needs/skills gaps that can be addressed in partnership with team members.
Proactively supports data governance committee members in establishing processes and procedures to drive improved data quality.
Serves as liaison to the development team (the Business Analyst and Developer) for operational issues escalates Issues gathers supporting data from customers as needed, provides bug testing, etc.) and provides User Acceptance Testing (UAT) Communication.
Conducts constant review of the University's Outreach and Engagement activities to identify possible groups/departments who might benefit from the system.
Provides documentation of activities in multiple modes (written, oral, digital, etc.) and ensure the structure for documentation storage is maintained.
Analyzes and advises in stakeholder sessions.
