Project Coordinator (Professional Technologist 2) - Information Technology Services 14310
Information Technology Services at West Virginia University is seeking applications for a Project Coordinator (Professional Technologist 2). This position is responsible for coordinating activities and functions as a member of the Program and Project Management and Strategic Planning office to ensure that goals and objectives specified for each project are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications. The incumbent will assist project managers in support of technical projects and systems, including project and operational support. The incumbent will assist the Assistant Director in coordinating and leading departmental operations.
In order to be successful in this position, the ideal candidate will:
Independently coordinate the management of small projects for the Program and Project Management and Strategic Planning and ITS units.
Assist project managers with mid-level and enterprise project coordination.
Assist in the drafting and issuance of project proposals, RFP's, Statement of Work, request for budget, securing third party resources and purchase orders.
Prepare project organization and communication charts.
Effectively and accurately communicate relevant project information to the client and project team in a timely fashion.
Compile summary documents, e.g. Project Scope, Technical/Functional Requirements Specification Documentations, Project Budgets, and Management Summaries.
Manage project documentation: creating, tracking, and maintaining documents including Program and Project Management and Strategic Planning minutes, presentations and tables.
Prepare periodic reports, financial statements and records on program activities, progress, status or other special reports for management.
Bachelor's degree in Business Administration, Information Technology, Finance or related field; or an equivalent combination of education and/or experience.
Two (2) years of experience in the following:
Administrative experience such as coordination, scheduling, and preparing documentation.
Experience within a business, higher education, grants, payroll, or systems related field.
Experience supporting technical teams or initiatives is preferred, but not required.
Strong communication and listening skills.
Excellent organizational skills.
Commitment to customer and team-oriented management.
Excellent interpersonal skills, both oral and written.
Ability to work collaboratively within an academic community.
Ability to develop and manage budgets.
Demonstrated ability to work independently, efficiently and effectively in a complex business and technical environment.
Demonstrated desktop computer skills, including MS Office, MS Project, MS Visio, Exchange and Internet. Strong working knowledge of MS Excel.
Ability to design and develop reports that will allow for effective summarization of project status, budget and schedules.
Demonstrated ability to appropriately manage and prioritize multiple work assignments to ensure timely and quality completion.
Demonstrated ability to maintain confidentiality of sensitive materials or information.
Demonstrated ability to develop and maintain effective and cooperative working relationships with employees (at all levels within the university) and external consultants, vendors, etc.
