The Assistant Director will manage the student employment process, working directly with student supervisors to evaluate and post student jobs, develop policies and guidelines that ensure fair hiring practices, and conduct workshops and training modules for both student employees and their supervisors that are intended to enrich the student employment experience. The Assistant Director will also assist the processing and reconciliation of the College’s multiple payrolls and provide advice and consultation to supervisors and employees regarding payroll processes, time reporting, and compliance with policies and regulations This position provides day-to-day direction and guidance to student assistants assigned to the payroll and student employment office. Representative Duties: Duties may include, but are not limited to the following. Other duties may be assigned. 1. Serve as primary resource for student employment providing services to students, supervisors and parents. Manage student employment job postings in IC HR Cloud and track, analyze and report on student employment data and trends. Work directly with department supervisors to ensure proper hiring practices and investigate and resolve issues resulting from job postings, hiring paperwork and problems that may delay payments. Works closely with the Office of Student Financial Services to ensure accurate reporting on student employees coordinate information flow between offices. 2. Develop, schedule, and deliver workshops and trainings specific to student employment policies and procedures and best practices for recruiting, hiring, training and developing student employees. Develop online tools for student employees and supervisors. 3. Develop and coordinate sending of all student employment experience related communication. 4. Plan and manage National Student Employment Week, to include the Student Employment Appreciation Lunch, and the Student Employee and Student Supervisor of the Year award processes. 5. Assist with the processing and reconciliation of all payrolls to include monitoring payroll workflows to ensure all data is properly verified for accuracy prior to payroll runs, coordinating the resolution of time and pay issues in advance of payroll runs, processing payroll corrections, adjustments, and reversals, and re-issuing payroll checks as appropriate. 6. Assist with the review and entry of various information affecting individual payroll records to include tax-withholding information (W-4’s) and direct deposit forms, the processing of involuntary deductions to include child support and other garnishment orders from various federal, state and local agencies and miscellaneous voluntary deductions such as ID Express, IC Meal Plan, College gifts, United Way, and undergraduate payments. 7. Assist in calculating and preparing various payments such as workers compensation, short-term disability, additional duties pay, special payments, and final checks. 8. Assist in the review and approval of transactions submitted for payment of contracted services and payments for qualified moving expense reimbursements, ensuring proper documentation and appropriate processing and reporting. 9. Assist with the preparation and transmission of deposits, federal and state taxes, and retirement contribution (TIAA) information and data. 10. Assist with system testing and the maintenance and documentation for all payroll system procedures. 11. Develop, demonstrate, and promote multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Assist with the reconciliation of costing of payroll expenditures at the departmental levels and perform other analyses of payroll accounts and prepare appropriate reports or data files as needed or requested. 13. Participate in meetings, lectures and training sessions and conduct payroll workshops for employees as appropriate. Qualifications: Bachelor’s degree and a minimum of 2 years’ experience in student employment, human resources, career development, financial aid, payroll or related field; experience processing payroll and interpreting payroll related state and federal regulations; experience using a human resources information system; basic understanding of compensation structures and employment regulations; demonstrated organizational and project management skills; basic understanding of Federal Work Study, and Federal and State employment practices and regulations; confidentiality and adherence to FERPA; strong proficiency with excel; attention to detail; excellent communication, organizational and analytical skills; the ability to maintain confidentiality; and the demonstrated ability to work effectively and interact respectfully within a diverse and inclusive environment required. Experience with Oracle’s E-Business Suite, Human Capital Management, or Enterprise Resource Planning software and knowledge of human resources and/or payroll regulations specific to not for profit or higher education institutions preferred.
