Ravinia, North America's oldest music festival, stands today as its most musically diverse, presenting over 140 different events throughout the summer. Position Summary The Manager, Donor Relations and Operations plays an integral role in Ravinia’s fundraising efforts, planning and implementing strategies and programs to generate individual giving to Ravinia’s Annual Fund, with a focus on donors at the Opus ($4,000) and Guarantor ($7,000) levels. Employee is a critical part of a team that continues to enhance our technology processes, bringing an easier and more efficient ticketing and reservation requesting and fulfillment process to our donors. Employee serves as the liaison between the Development department and our Levy Restaurants and Freehling Room partners.
Duties and Responsibilities
Fundraising and Stewardship
Manage the stewardship, cultivation, and asks of a portfolio of roughly 800 Opus and Guarantor donors. Initiate personal connections whenever possible. Attend solicitation meetings with Development department leadership when appropriate. Execute an annual donor onboarding program to ensure that new Opus and Guarantor donors understand and utilize the benefits provided to them at their generous giving levels. Place specific emphasis on donor retention and recapturing dropped donors.
Serve as a Development representative in park during season and actively engage donors, especially at the Opus and Guarantor level.
Lead the Donor Concierge Service team: provide VIP assistance with dining reservations, ticketing and other requests throughout the year, especially leading up to and during the summer concert season; work closely with restaurant management to ensure the highest level of service for Opus and Guarantor donors in Ravinia’s restaurants; track contributor dining reservations; assign premium window table and balcony reservations; assure proper donor priority; and greet contributors as they arrive to the dining pavilion and the concert.
Issue personalized acknowledgment letters for select Opus and Guarantor contributors.
Manage Donor Concierge Services Intern.
Act as the point person for all ticketing, dining reservations, and entertaining for Ravinia’s Board Chair.
Ensure appropriate and timely reservation confirmations based on donor level. Communicate confirmations with donors as part of pre-season ticket outcome email process.
Manage the execution (RSVPs, catering, run of show, A/V, staff, gifts, etc.) of the March Donor Season Preview, the Contributors’ Reception, the Life Trustee/Past Women’s Board Chairman Dinner, the Annual Meeting of the Board of Trustees, and several other one-time high-profile department events that occur each year.
Track and monitor all summer Development events to ensure there are no double bookings and that all spaces are available and reserved.
Provide support at other events such as Ravinia’s annual Music Matters benefit and the Women’s Board Gala.
Work closely with the Annual Fund Manager and Donor Records Coordinator to maintain the integrity of the donor database, ensure prompt acknowledgments and accurate gift receipts.
Run and build relevant queries and exports from The Raiser’s Edge to assist in fundraising activities, especially at the Opus and Guarantor level.
As demand often exceeds supply, devise and execute ways to accommodate donors at the Opus level and above through alternate reservations.
Work closely with the Annual Fund Campaign Manager to facilitate distribution of Annual Fund benefits, including contributor benefits portfolio, gate passes, priority parking passes, donor cards, season posters, etc.
Review donor lists for Annual Report and Season Program Magazines to ensure proper donor recognition.
Attend biannual Dining Committee meetings and present Freehling Room report.
As part of the Contribtics software development team, work to constantly improve donor experience through technology, especially working to hone the Contribtics-based Donor Concierge Service reservations feature, which was recently integrated with the newly built RavRez proprietary software.
Spearhead dining-specific technological advancements to continually improve fulfillment of donor dining reservation requests and in-season activity. Advancements should aim to enhance the overall donor experience and ensure ever-more efficient integration with our Levy Restaurants and Freehling Room partners, while greatly reducing no-shows and increasing customer satisfaction.
Provide support during the off-season to Donor Records Coordinator and Annual Fund Campaign Manager, including assistance with solicitation, appeals and gift processing.
As a member of the development queue, answer email and phone donor inquiries year-round, especially during high traffic times.
Special projects and other duties as assigned.
Strong interpersonal, communication and customer service skills
Strong technology skills a must. Experience utilizing programming interfaces to connect computer platforms a plus.

Work Experience and Schedule
3-4 years minimum experience in non-profit organization, music/arts preferred.
