The Dwight School Foundation seeks a dynamic, experienced, creative, and well-organized individual to serve as the Manager of Alumni and Foundation Engagement and Special Events. Established in 1969, The Dwight School Foundation, is a 501 (c)(3) not-for-profit organization which raises funds for faculty professional development, student financial aid and innovation grants for Dwight School New York. Dwight New York is an independent school located on Manhattan’s Upper West Side and was the first school in the United States to offer the full International Baccalaureate curriculum from Pre-K through Diploma. In addition to the Annual Fund and periodic fundraising for capital projects, the Foundation hosts several events including a biennial Spring Benefit.
The Manager of Alumni and Foundation Engagement and Special Events reports to the Foundation Director and works closely with the Annual Fund Director and to engage and communicate with Dwight’s alumni. S/he will develop, plan and implement alumni programming, communication and events, and will be responsible for recruiting and managing volunteers, including the Alumni Council and its committees. Additional responsibilities include managing most Foundation communications (print and electronic) and events as well as maintenance of the Foundation page on the School’s website. As a member of the team, s/he will collaborate with and assist other members of the Foundation and School staff as needed.
Primary Duties and Responsibilities
Manage the Alumni Council including authoring agenda and running three Council meetings per year, as well as individual meetings and outreach.
Plan, develop, organize, and implement all Alumni events including Reunion, the Alumni Basketball Game, Dwight Alumni Women's Circle events and the Young Alumni Cocktail Party.
Establish an alumni class representatives’ program.
In collaboration with Annual Fund Director, oversee the alumni portion of the Annual Fund.
Conduct outreach to improve Alumni attendance at all events and participation in fundraising initiatives.
Develop and manage event timelines, expenses, and event plans. Maintain files on each event.
Coordinate with School’s Facilities and Communications teams to secure rooms and facility requests.
Serve as liaison with vendors on event-related matters.
Make arrangements for facility, catering, décor, and AV needs.
Handle invitations/promotions, manage events RSVP’s, nametags, gifts and other event-related items.
Create internal event plans and event evaluation forms.
Track invitations and attendance to provide to the Annual Fund Director for the database.
Create external alumni website and handle all promotions and weekly content updates.
Author and promote Alumni E-Newsletter along with Communications Department.
Research, create, and implement new Alumni Events to incorporate into the annual schedule.
Research and generate ideas to strengthen alumni and alumni parent relations with the School.
Plan, develop, organize, and implement all Foundation events, including Spark Tank, the Half Marathon, Board Meetings, International Society Cocktail Reception, Volunteer Appreciation Cocktail, Spark Lunches, as well as other cultivation and stewardship events.
Handle all promotions, manage event RSVP’s, and prepare materials as needed.
