Provide highly skilled coordination and professional administrative skills for event and project management for the Office of the Vice President for Student Affairs, primarily with Commencement and Convocation. Serve as a valuable and engaged team member for Student Affairs. Responsible for logistics and ongoing management, managing special projects, assist with special events and exercise initiative and independent decisions. Position will report to Associate Director for Communications. Standard office conditions. Other requirements: must be proficient in all work areas of work performed. Ability to use usual office equipment.
Manage key aspects of commencement and Convocation ceremonies, including student and guest management, college coordination, printed materials, recruitment and management of volunteer staff, oversight of logistics. Use independent judgment & discretion for University high profile events. Develop and manage the communications plan for graduation, ensuring correct information is circulated to faculty, staff, students, parents and external audiences in a timely manner. Work with internal and external service providers, to achieve best value and excellent service for graduation ceremonies and events (catering, print, design, venues, bookstore, and photography, others as required). Assist with key aspects of high profile University events and programs as needed, such as event development, stakeholder communication, marketing and promotion, and representing the University. Develop long term projections for commencement to accommodate conferral growth. Implement virtual commencement opportunities for online students, and improve graduate and guest experiences through all commencement ceremonies. Assist with donor recognition, tracking, and stewardship. Performs other duties as assigned.
Bachelor's degree. One to two (1-2) years of experience working in an office setting or the equivalent experience. Experience supervising student employees and event management.
Master's degree. Two to three (2-3) years of experience working in an office setting. Experience supervising student employees and event management.
Knowledge, Skills and Abilities: Interpret university policies and procedures. Proficient in Microsoft products including excel, word, and outlook. Must be knowledgeable in the areas of event and project management and must maintain confidentiality. Time management is needed to meet deadlines. Excellent oral and written communication skills, organizational skills, and interpersonal skills necessary. Serve as a valuable and engaged team member within the division of student affairs.
