The Administrative Coordinator manages complex calendars, arranges appointments, and travel arrangements. Implements ED office procedures, maintains electronic and paper filing systems, assists in preparing reports, and coordinates the day-to-day flow of communication from and within the ED's office, using multiple software applications (e.g. word processing, database, spreadsheets, presentation software, Outlook calendar and email, website content management). As part of administrative support to HSCRB faculty, may support meeting coordination, reimbursement and appointment processing, as well as travel arrangements, on an as needed basis. Excellent communication, coordination, collaboration, and an efficient flow of work is essential.
The Administrative Coordinator plans and executes departmental events, such as seminars, the annual retreat, holiday party, and other administrative meetings or community engagement events, including assistance with travel arrangements and reimbursements for external speakers.
The Administrative Coordinator serves as principal administrative contact and source of information for HSCRB for all internal and external constituents. Greets and directs frequent visitors to the administrative office, and may also manage telephone communication, compose and/or edit letters and memoranda, and review/route/follow-up on correspondence. Develops and disseminates HSCRB-wide communications on behalf of the Chair, ED, or central administrative group, and manages the departmental calendar. Directly responsible for updating the HSCRB contacts database and associated email lists for disseminating event information and other department announcements, and posts relevant information on digital screens maintained by the department. Takes responsibility for updating the HSCRB website in a timely manner. Seeks information and updates from departmental and lab constituents, coordinating with internal and external web/IT support as needed.

3 years of related experience in comparable academic or research environment.
College degree and 5 years of experience strongly preferred. Education may count toward experience. Excellent written and verbal communication skills and demonstrated customer service orientation. Ability to multi-task, desire to work in a fast-paced environment with attention to detail and deadlines, and demonstrated ability to handle complex and confidential information with discretion required. Proven project management skills. Experience with Microsoft Office suite and comfort with learning new software applications. Experience with website content management systems an advantage. Must be able to work with multiple constituents on a variety of projects, be flexible, willing to take on assignments, and able to work independently with minimal supervision and as part of a team.
