Stanford Libraries seeks a change agent to lead our rapidly evolving resource sharing program. The Librarian for Resource Sharing plans, develops, implements, and maintains interlibrary services and document delivery to support teaching and research at Stanford University. The Librarian for Resource Sharing for Stanford Libraries will help re-imagine user services, evaluate and implement efficiencies, technology, and processes to optimize customer experience. Reporting to the Head of Access Services, the Librarian will oversee the administration of the unit program and staff, manage projects related to service and workflow refinements, plan and implement service expansions, and contribute to overall long-term department planning through assessment activities.
About Stanford Libraries: Stanford Libraries is comprised of the Cecil H. Green Library (main library) plus 8 branch libraries, Special Collections & University Archives, and 3 auxiliary libraries (including high-density storage). Stanford Libraries serves four of Stanford's seven schools including: Humanities & Sciences; Earth Energy & Environmental Sciences; Engineering; and the Graduate School of Education. Three coordinate libraries, each separately managed, serve the Graduate School of Business, Graduate School of Law and the School of Medicine. Resource sharing services are managed by Stanford Libraries and separately by each coordinate library.
This position is part of a management team in the Access Services Department at the Cecil H. Green Library, reporting to the Head of Access Services. The Access Services department includes: Circulation, Privileges, Reserves, Green Library Stacks, Media & Microtext Center, 3 auxiliary libraries (off-site high-density storage in Livermore, an on-campus auxiliary library and one in Newark), Google Books Operations, and Resource Sharing and Document Delivery operations. The Access Services department has two areas of focus: inventory control (material processing, storage and delivery), and user services. Our service teams staff Stanford's largest library, seven days a week.
Position Responsibilities: The incumbent will provide leadership and management for interlibrary and document delivery services. The successful candidate will have significant knowledge of national trends in resource sharing and experience with implementing new technology and automation. The Librarian will bring experience and insight to library discussions as we explore new ways to facilitate new discovery-to-delivery services. For planning and service improvements, the Librarian will utilize user-centered service design, process improvement principles and project management methodology. The Librarian for Resource Sharing oversees a growing team, presently comprised of one Resource Sharing Operations Manager (daily operations), and 4 FTE library specialists. The Librarian also ensures that the Stanford Libraries' resource sharing program is aligned with the Coordinate Libraries (GSB, Law, Medicine) services and actively seeks increased collaboration, shared efficiencies and coordination with those resource sharing teams. The resource sharing team is slated to grow with expanding scanning and resource sharing services. Because resource sharing workflows are presently also integrated across shifts of the circulation teams, the Librarian ensures coordination and efficiencies that fully leverage department staff and results in effective customer service. The Librarian actively develops the team's service ethic, elevating customer service habits and communication channels. The Librarian will contribute to library-wide committees and represent Stanford at the Ivy Plus Libraries Confederation (BorrowDirect Operations) and participate in other relevant national professional organizations in leadership roles. The Librarian will review existing library resource sharing partnerships and contribute to developing new ones. The incumbent will report service trends and statistics for the purpose of helping with collection management, service assessment and department forecasting. The Librarian serves as operational expert for the systems that support the services (such as ILLiad, Relais) and bring strong understanding of copyright, accessibility, and assessment to the role. Adding to business acuity, the incumbent will be a team builder and actively manage and develop staff with a positive stance.
Oversees Daily Operations Of The Resource Sharing Team (45%) ? With oversight of a team and through quality control measures, ensures Stanford patron requests are filled accurately and quickly through a variety of fulfillment streams. ? Sets and achieves goals related to meeting or exceeding user expectations. ? Ensures Stanford inventory control through systems reporting functions. ? Reviews and refines implementation of current technology to fully leverage existing features; identifies gaps and opportunities for streamlining and expanding services ? Evaluates, recommends and implements new technology that streamlines requests handling. ? Applies quality control measures to ensure compliance with copyright and operational guidelines. ? Serves as operational expert of software and equipment supporting resource sharing services (Relais, ILLiad, copyright, overhead scanners, etc.) ? User services: Analyze and act on user feedback about resource sharing. Instruct users on inventory access and searching best practices. Relay user feedback about information discovery problems to digital libraries teams. Work with Stanford users online or in person seeking difficult-to-obtain information.
Innovation & Continuous Service Improvement (30%)
Refines workflow, introduces efficiencies, leads projects, for example: ? Implementation of ILLiad add-ons and routing rules. ? Assessment and possible implementation of IDS Logic. ? Review RapidILL service not presently in use at Stanford. ? Expand scanning services (Scan-to-PDF) to campus collections; presently only available for collections help in storage. ? Evaluate next steps with BorrowDirect - presently all user requests are funneled to ILLiad. Evaluate what we need to do to provide users access to the BD discovery platform. ? Work with the Online Experience Group to overhaul the interlibrary services web pages for clarity and ease of use. ? Implement new web accessible ILLiad request forms. ? Retire current method for electronic article delivery to users and implement new method. ? Assess current stream of requests from UC Berkeley/RLCP members to identify opportunities to improve handling/routing to reduce operational burden. ? Evaluate the impact of changes to subscriptions on interlibrary services. ? Lead information searching training sessions for staff. ? Evaluate new scanning equipment. ? Evaluate document delivery services for remote patrons.
Participates In Projects, For Example: ? Work with the Library Systems team on implementation of ILLiad-Symphony connection to improve local circulation of ILL items through our ILS and expansion of pick up locations. ? Ivy Plus Libraries Confederation is interested in improving discovery and fulfillment streams of circulating and special collections within the partnership. The Resource Sharing librarian will, in agreement with SL administration priorities, review proposals, participate in discussions and initiatives. ? Help evaluate and streamline Office of Accessible Education requests for scans of library materials.
Keeps Informed of Developments: ? Open source projects in libraries, academic publishing, scholarly communication, copyright and accessibility.
Maintains Internal and External Relationships (15%)
? Collaborate with Access Services management team for cross-shift ILL and document delivery activities. In the absence of other department exempt staff, may serve as backup manager. ? Serve library committees and presents department activities, i.e. Library Services Committee and coordinate library teams. ? Present statistics to bibliographers for collection development purposes. ? Maintain and develop professional relationships with vendors who provide software, equipment or commercial document delivery services. ? Works closely with the Library Systems team on server, web authentication, and user load issues and for software upgrades and configuration changes. Participate in bi-weekly Systems meetings to raise and track issues. ? Actively participate in professional networks and associations for resource sharing and document delivery. Represent Stanford Libraries at professional conferences to stay informed about changes and trends in the field. Review, maintain and/or recommend development of new consortial partnerships or revisions to existing ones. ? Represent Stanford to the Ivy Plus Libraries Confederation's Operations Group (monthly meetings and annual meetings) ? Meet with UC Berkeley interlibrary services teams. Serves on the University of California ILL Workgroup. ? Convey user experience and feedback on discovery and access issues to other technical services or digital libraries teams.
Financial responsibilities include: ? Oversee payments made and accepted for resource sharing services. Uses p-card, bank transfer and IFLA vouchers for payments. Reconciles and reports out unit billing. ? Mailroom labor burden and shipping costs need to be monitored regularly. ? Oversight of courier services to/between the UC's and Hopkins Marine Station Library. Personnel: ? Review and adjust staffing levels. Hire, train, supervise and coach staff. Ensures ILL work spread across other teams is organized and follows guidelines. Statistics: ? Maintain department statistics and unit budgets; interpret data and forecasts future. Report data to stakeholders.

Additional Job Duties at the Librarian 3 level: May include rank as Assistant Head for Access Services with additional duties including, oversight of collection maintenance activities; assessment of greater collaboration between Stanford Libraries and Stanford coordinate libraries (Business, Law, Hoover) for interlibrary services. At the higher level may oversee broader suite of services and additional direct reports and maintains a leadership role in resource sharing professional organizations.
Education & Experience:
? MLS/MLIS degree from an ALA-accredited graduate school is required or equivalent in training and experience. ? Minimum of three years of experience providing interlibrary loan and/or document delivery services, preferably in a large university or research institution. ? Minimum of two years of supervisory/management experience. ? Demonstrated record of innovation in developing, implementing or promoting library services.
Additional Requirements For Consideration At The Librarian 3 Level: Minimum of 4 years in a similar role with demonstrated experience driving innovation in user services and a minimum of four years supervisory experience and significant experience with resource sharing automation and innovation.
