Headwaters School, a Pre-K through grade 12 independent day school serving 530 students across its three campuses in Austin, TX, is seeking a full-time Assistant Director of Admissions for the 2020 Spring Semester. This position is for an immediate hire.

The Assistant Director of Admissions reports directly to our Director of Admissions.
The Assistant Director of Admissions is the initial contact for the highly visible and fast-paced Admissions Office, and the individual in this position plays a significant role in a prospective family’s first impression of Headwaters School. The Assistant Director of Admissions must be analytical, service-oriented and detail-oriented, and have the ability to be flexible and multi-task in an ever-changing environment. It is essential for the Assistant Director of Admissions to effectively interact with and serve a variety of constituents, including applicant parents, students, volunteers, faculty, and staff. Excellent communication, interpersonal, and organizational skills are essential. Computer proficiency, particularly in working with database programs, is required. Bachelor’s degree required and fluency in Spanish is preferred.
Essential Job Functions:
Communicates daily with the Director of Admissions to ensure successful operation of the Admissions Office; manages the Blackbaud database and school enrollment rosters; and prepares periodic reports.
Serves as the "first responder" in most admissions inquiries in person, by phone, and through email.
Prepares and mails correspondence for the Admissions Office and drafts correspondence as requested.
Coordinates visits for applicant families (Interviews, Day Visits, Open Houses, Campus Tours).
Serves on the Financial Aid Committee and prepares financial aid applications for review by the Committee.
Keeps detailed notes and records of all programs and events during the Admissions process and presents debriefs to the Director of Admissions as needed.
Processes online Admissions inquiries and applications, ensuring accurate entry into the dedicated database, Blackbaud.
Processes and maintains Admissions application materials and applicant files, both in digital and hard copy through Blackbaud.
Prepares and ensures the accuracy of admission and enrollment reports and data.
Represents the Admissions Department at some recruiting and retention functions and other related events including Open Houses at all three campuses.
Along with the Director, the Assistant Director of Admissions manages the applicant pool list for all three campuses.
Coordinates the follow-up communication with prospective and admitted students.
Supports Admissions Volunteers and New Parents’ Volunteers programs.
Maintains public spaces in the Admissions Office.
Provides staff support for Admissions and other School events as requested, on and off campus, including occasional weekend work.
Completes Master Calendar forms for on- and off-campus events as directed by the Director of Admissions.
Keeps inventory of office supplies, including print materials, for Admissions purposes.
Processes all invoices and tracks department expenses and budget for the Director of Admissions.
Maintains Admissions Office calendar and schedules, as well as calendars for the Director of Admissions.
Photocopies, scans, faxes, and files materials for the Admissions Office.
Administers projects and participates in all-School endeavors, as assigned.
Other duties as assigned by the Director of Admissions or Head of School.
