DUTIES: The Office of Financial Management at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant. The responsibilities and duties will include: - Review and track all DMC Procurement Card, Travel, NET (non-employee travel). Cardholders and related transactions. - Carry out audits of cardholder packages/submissions. - Compile documents needed in the preparation for internal audits by OCAS and State audits by OSC and SUNY Generate PCard, Travel, and NET Card Bi-monthly Reports within Citibank. - Assist in preparation of various types of documents and collection of data for completion of reports. - Effectively handle customer service issues, phone inquiries and follow-ups in a timely matter. - Demonstrate analytical and critical thinking skills required for being the liaison between Citibank and DMC Cardholders - Maintain excel grids for receipt of monthly packages for PCard, Travel, and NET Cardholder's transactions. - Must work independently with the ability to prioritize multiple assignments to meet deadlines in an atmosphere with frequent interruptions. - Must possess good communication skills with the ability to interface with personnel at all levels. - Comply with all NYS Finance, Federal and other regulatory requirements ensuring application of internal controls and adherence to DMC and NYS policies. - Perform all other duties as assigned, including Office of Financial Management coverage. (DUTIES AND RESPONSIBILITIES ARE NOT LIMITED TO THE ABOVE POSITION DESCRIPTION) QUALIFICATIONS: - Bachelor's Degree preferred. - Proficient with Excel application. - Must have excellent communication skills, in addition to strong writing, proof reading, creating reports and/or spreadsheets, etc. - Develop and compose presentation material. - Ability to work in a team environment and communicate effectively with all levels of the organization. - Strong leadership, project management and interpersonal skills, with writing ability and analytical capability are required. - Proficient with MS Office suite and a variety of electronic data base systems is necessary.
