Supervision Received: The Staff Associate reports directly to the Executive Director of Facilities and Capital Planning.
Salary: $65,000.00-$71,000.00 (Salary to commensurate w/experience)
General Statement of Duties: The Staff Associate is responsible for the development and administration of the Facilities and Operations web-based University work order system, building maintenance system, and other departmental databases. Additional databases include the department disposable goods inventory, overseeing the tracking of all Capital and major project spending, updating and improving the Facilities and Operations website. The Staff Associate will also be in charge of organizing the Facilities and Operations plan room, including all records, plans, and digitized databases. The Staff Associate is also acting as the University CAMIS Administrator and assists the Executive Director with other projects as assigned.
Duties and Responsibilities: Duties include but not limited to: Essential:
Manages the Facilities and Operations Website and plan room.
Manages the University SchoolDude Software System comprised of preventive maintenance, inventory and work order systems and utility tracking.
Manages and inputs information into the University facility database.
Maintains and submits sustainability reports and data to appropriate agencies.
Acts as the Facilities and Operations liaison and administrator for the State of Massachusetts Capital Asset Management Information System (CAMIS).
Develops and maintains University building database.
Manages the University room inventory database.
Tracks and maintains University inspection database.
Manages the department disposable goods inventory and prepares annual audit reports.
Works on special projects as assigned by the Executive Director of Capital Planning and Facilities and Director of Facilities and Operations.
Tracks and reports on all Capital and major project spending
Works as a liaison between the Budget and Facilities Depts. on Capital and State project spending
AS, BS or minimum of 10-15 years facilities management or related field.
Proficiency in working with, and a knowledge of, various software systems such as MicroSoft Office, Excel, Access, CAMIS and School Dude etc.
10-15 years' experience working in a higher education Facilities.
Knowledge and experience with CAMIS updates and mandatory reporting.
Additional Information: Salary: For the majority of new employees, the minimum starting salary will apply. Specific salary for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining and state policies and procedures.
